We are actively looking for a highly motivated and experienced Project Manager/ Executive Assistant to join our team. As a Project Manager / Executive Assistant, you will oversee and execute various projects, working full-time from home. We encourage you to apply if you have a background as an Executive Assistant, Project Manager, or in a supervisory role in any industry and possess strong project management skills.
Role Outline
I. Project Management and System Updates
– Implement and manage the Project Management System discussed, ensuring all project details are accurately entered and updated.
– Utilize ClickUp to organize and monitor the entire project lifecycle.
– Maintain a schedule of important dates and milestones and regularly update project statuses.
– Populate ClickUp with posting dates, contract briefs, and other relevant project-related information.
II. Invoicing and Brand Deal Management
– Handle all invoicing tasks, including creating and sending invoices for brand deals to respective brands.
– Follow up with brands to ensure timely payments and resolve invoicing-related queries.
III. Personal CRM Management
– Input and regularly update the Personal CRM based on email interactions and other communication.
– Ensure that relevant contact information and details are accurately recorded.
IV. Email Coordination
– Manage email correspondence efficiently, including sending brand inquiries, outreach emails, and responding to emails in your inbox.
– Craft responses based on provided templates, adapting them depending on the context and interaction.
V. Calendar Management and Coordination
– Take charge of scheduling and coordinating calls, meetings, podcast appearances, and social media postings for the podcast.
– Keep the calendar organized, avoiding scheduling conflicts and ensuring a smooth activities flow.
VI. Systems Enhancement and Automation
– Identify opportunities to streamline processes and introduce new systems that improve efficiency.
– Explore and implement a Client On-Boarding System to handle invoice fulfillment and contract management effectively.
– Recommend and integrate plugins and tools to automate tasks and enhance productivity.
VII. Market Research Support
– Assist in market research activities, such as compiling lists of business podcasts or LA-based influencers based on specified demographics and brand niches.
– Provide insights and suggestions to enhance the market research process.
VIII. Organizing Inbox
– Organize your inbox by creating designated folder systems that make locating and managing different types of emails easier.
– Ensure that important emails are sorted and accessible for reference.
IX. Miscellaneous Tasks
– Handle any other tasks and responsibilities assigned by the client to support their overall workflow and productivity.
