Job Description

We are seeking a passionate and dedicated Incentive Project Manager to support the team in delivering corporate internal Incentive and Travel Programs for one of our large automotive clients. Reporting to the General Managers and working as a member of the incentive department, you will work with one our major clients on delivering several of their internal Incentive Programs that reward their top achievers with high-end, small to medium Travel Programs.

Requirements

A minimum of 3 years corporate event management experience, incentives, special events and/or travel Industry

Proven project management experience in travel, incentives, and corporate events.

Exceptional organisational, communication and interpersonal skills

You will have a passion for organising events, flexibility to run on tight deadlines and are used to working in a fast-paced working environment

Have a high level of attention to detail, with a methodical and meticulous mindset.

Ability to review and confirm travel details, including flight itineraries and hotel accommodations.?

Experience with an online events software.

Proficient Microsoft office skills including excel and project management.

You will have a positive “can do” attitude and able to work closely with different teams.

Good at problem-solving with the ability to multi-task

Desired, an interest in upskilling and learning more about opportunities in our other area of the business

Desirable:

Tertiary qualifications in Event Management, Communications, Business or related field

Experience with using Xero or other accounting software, Slack, Teams and Zoom software.

Familiarity with a variety of venues, suppliers, and destination products in Australia and beyond through your experience

Responsibilities

Communications Management: You will be assisting with all elements of the incentive program management process. This includes preparing a 12-month end to end program communication plan, developing engaging communication pieces that will excite, motivate, and inform employees, user management, data analysis and results auditing through the administration web portal.

Events Management: You will be responsible for all elements of the travel incentive program management – including group activities, flights, accommodation, food & beverage, gifts and transfers and extensions.

Registration Coordination: Manage registration of winners through the online portal and collect necessary information and documentation from participants.

Supplier / Client Coordination: Developing and maintaining relationships with key clients and suppliers. Venue sourcing, contracting and rooming allocations, supplier sourcing and contracting, food & beverage/catering selection, venue set up, entertainment, activity selection.

Program Documentation: Document and maintain comprehensive records of the entire travel program, including registration procedures, communication protocols, and participant documentation / communication, itinerary and detailed run-sheet/ blueprint creation.

Winner Communication: Communicate with program winners to provide detailed information about their travel arrangements, including flight details, accommodations, full itinerary.

Support: Address any questions or concerns from winners and provide ongoing support as needed.?
