The Project Procurement Assistant with an estimating/construction background plays a vital role in our team. This position involves comprehensive support in project procurement activities. Key responsibilities include managing project documentation, acting as the Champion of the Knowify software package, aiding in process documentation, and assisting in the coordination and follow-up of quotes.
Responsibilities:
Maintain accurate and organized project documentation, ensuring all files are up-to-date and readily accessible.
Act as the primary point of contact for Knowify software, ensuring its optimal use within the procurement processes.
Provide training and support to team members as needed.
Assist in documenting procurement processes, ensuring clarity and efficiency in every step of the workflow.
Collaborate with internal and external stakeholders to gather quotes, track procurement requests, and facilitate seamless communication between parties.
Leverage your background in estimating and construction to provide valuable insights during the procurement process, ensuring accurate evaluations and selections.
Maintain relationships with vendors, negotiate terms, and communicate effectively to secure the best possible procurement deals.
Analyze procurement data to identify trends, cost-saving opportunities, and areas for process improvement.
Conduct quality checks on received goods and services to ensure they meet the specified standards and requirements.
Work closely with project managers, estimators, and other team members to streamline procurement activities and contribute to overall project success.
Conduct takeoffs as required, utilizing estimating expertise to assess project requirements accurately.
Requirements and Skills:
3+ years of related experience or relevant coursework
3+ years of experience using GSuite (Google Calendar, Google Docs, Google Sheets, etc.)
Background in estimating and construction is required.
Proficiency in procurement processes and project documentation.
Familiarity with Knowify software or similar procurement tools is preferred.
Strong communication and negotiation skills.
Detail-oriented with excellent organizational abilities.
Ability to analyze data and make data-driven procurement decisions.
Collaborative team player with a proactive approach to problem-solving.
Experience using HubSpot or similar CRM (preferred)
Experience using Slack and Coda (preferred)
Willing to work US day-shift (approx. 8:00 a.m. to 5:00 p.m. EST)
English language fluency
