We are poised for rapid expansion and need to bolster the administrative support to ensure that our property and franchising teams are poised for success. As such, we are on the lookout for an experienced coordinator who can assist us with our growth ambitions by keeping the engine room ticking and ensuring that everyone is organised.
Experience necessary to be successful in the role:
— Project management, property or real estate background
— Build related project management (retail and hospitality preferred)
— Understanding around P&Ls, project management accounting beneficial
— Strong ability in the use of spreadsheets and technology
You will complete a large range of tasks including:
— Project Management Support – support our external PM team to ensure the successful completion of all build-related projects.
— Track all build-related projects, ensure all relevant milestones are met and flag concerns to all relevant parties
— Attend Weekly Meetings: ensure all relevant parties attend, and support the creation and circulation of agenda and document minutes and action items
— Ensure accurate tracking of department and project expenses and payments
— Maintaining documents and files up to date
— Place new store-related POs and track payments to ensure timelines are met
— Complete project NSI documentation and submit to our Design and Project Management team
— Read leases and extra information on landlord works
— Complete build related estimates to be submitted for review and approval by PM/Design team
— Ensure Build/Design team have all the relevant leasing information required to complete the design and build of the store successfully
— Follow up with relevant departments to ensure all approvals are met in a timely manner
— Making sure all filing is completed quickly and in an orderly manner to ensure documentation for each project in up to date
— Dept Head receipts submitted in Webex at month end
— Fortnightly build project updates sent to relevant FPs
— Weekly build status updates sent to relevant departments and SO
— Other general duties as directed
This role will suit someone with Project Management, Property or Real Estate and Finance experience with strong communication and administrative skills.
This will be a full time role. It will be performed remotely in an Australian Eastern Standard Time time zone. Our office hours are 9am-5.30pm Monday to Friday. We can provide some flexibility as required, but you will be online mostly during these hours.
