Job Description

We urgently seek a dynamic, diligent and professional Administrator with very strong administrative and organisational skills to assist our fast-paced and expanding business.
You will provide administrative support to ensure smooth running of the department including but not limited to organising and monitoring works, ensuring timely completion of compliance checks remaining within legal parameters, planning cyclical maintenance, responding to emails and requests from stakeholders, taking minutes of meetings, preparing reports and documentation as requested by management.
The hours are Mon-Fri 9.00am – 5.00pm UK time, with one hour break each day.
Salary between 45,000 – 50,000 ? depending on experience.

Kev Responsibilities
• Providing first class support and customer service at all times via phone and email
• Organising and monitoring viewings, offers, move in requirements, all associated legal compliance checks, referencing and tenancy paperwork
• Listing properties on rental and sales portals, monitoring agents’ activities, portals listings and obtaining
• regular updates of all activities
• Preparing agreements for tenants, registering deposits, liaising with utility companies and local
• authorities, negotiating contract renewals
• Providing administrative support to the Property Managers and Directors including assisting with
• stakeholder and supplier communications
• Monitoring emails, activities, works orders, database reports and obtaining regular status updates to
• ensure service level KPIs are kept (e.g. repairs times, chasing of arrears, email/letter responses, etc.)
• Ensuring only approved contractors are instructed and contractors database is updated with latest
• insurance and accreditation renewals. Regularly monitoring service delivery of contractors.
• Keeping records of all activity on the database including client correspondence, works orders, quotes, and
• call notes – ensuring the database is updated and accurate.
• Assisting with arranging site visits and completing inspections reports.
• Demonstrating tact and diplomacy in handling sensitive matters.
• Remaining compliant with data protection governance and confidentiality.
• To handle all issues arising in an efficient and professional manner

Requirement
