Job Description:
We are seeking an all rounder – Property General Administrator to support our property management team in efficiently handling various aspects of our property business. The ideal candidate will be organized, detail-oriented, fluid and proficient in administrative tasks, communication, and customer service.
This role will assist in general administrative tasks as well as coordinating tenant enquiries, managing property listings, and ensuring smooth communication between property owners, tenants, lettings admin head and maintenance teams.
Hours Required:
Ultra Flexible role. Morning shift 9am – 2pm UK (4pm – 9pm Philippine Time) weekdays and standby on weekends for urgent support only. Some days will be very busy (during a high turn over season) (5 hours a day) and others there won’t be much to do unless a query comes in. Minimum 1 hour a day.
Key Responsibilities:
General Admin:
Inbox and Diary Management of Directors. Organising meetings with various stakeholders and bookings for networking events.
Basic Bookkeeping for lettings accounts and receipt matching
Research for travel, housing market updates and other ad hoc requirements
Basic Graphic Design
Basic Social Media coverage and edits will be favourable.
Lettings & Maintenance Assistance:
Overseeing and assisting with a diverse portfolio of rental properties.
Handling tenant enquiries and letting advertisements, lettings paperwork, maintenance requests, and ensuring tenant satisfaction.
System inputs for rents, maintenance tracking and ensuring overall compliance.
Maintaining up-to-date knowledge of property market trends and rental regulations.
Ad Hoc Tasks that may be required of the business.
Qualifications:
Excellent communication, customer facing and negotiation skills. Fluent in English.
Fluid and is able to react quickly to changes. Can think on their feet
Can respond quickly and is reliable.
Strong communication skills – both formal corporate and to colloquial communication
Proven experience in property management, preferably in a similar role. Minimum 1 years experience (doesn’t have to be UK experience)
Basic knowledge of UK rental regulations and market conditions.
Exceptional organizational, attentive to detail and problem-solving abilities.
Proficiency in property management and other computer software. Experience in Coho, Google Drive, calendar, excel, word, powerpoint, Canva, Tidycal etc will be highly favoured, but not essential.
What We Offer:
£3.50 per hour, paid monthly in arrears on the 25th of each month.
Increasing every 6 months with performance.
Annual performance bonus.
