Job Description:
Deja Blue Vacation Rentals, a prominent vacation rental and Airbnb management company, is looking to hire a Virtual Administrative Assistant to join our team. This position is pivotal to ensuring the smooth operation of our vacation rental management processes, with a strong focus on administrative and accounting tasks.
Requirement:
– Must be extremely organized
– Expert in Excel
– Understanding how to use Notion management platform
– Must be avail for 1-2 hours per day in US Pacific time zone.
– Must speak english fluently
– Very responsive, want someone who will answer emails and texts quickly
– Available for a few daytime hours
Key Responsibilities:
Light Accounting Work:
– Manage expenses and accurately add them to owner’s statements.
– Assist in the preparation of monthly financial reports for property owners.
– Handle accounts payable and receivable, including invoice processing and payment tracking.
– Reconcile financial transactions and prepare financial reports as required.
Guest Contract Management:
– Prepare and complete guest contracts, ensuring that all necessary information and terms are accurately included.
– Assist in sending and collecting signed contracts from guests.
– Maintain a digital filing system for all guest contracts for easy access.
Pool Heat Management:
– Remotely control the activation and deactivation of pool heating systems.
– Manage and schedule pool heat to ensure guest comfort and cost-effectiveness.
Tax Payment and Reporting:
– Ensure timely payment of monthly taxes to the city for vacation rental properties.
– Manage and organize tax-related documents and records.
Owner Statement Export:
– Generate and export monthly statements for property owners, detailing rental income and expenses.
Qualifications:
– Proficient in spoken and written English.
– Highly organized with strong attention to detail.
– Tech-savvy, comfortable using various software and online tools.
– Prior experience in Airbnb management or property management is a significant advantage.
– Strong administrative and accounting skills.
– Self-motivated and able to work independently.
– Excellent communication and interpersonal skills.
Working Environment:
– This is a remote, part-time position, requiring 5-10 hours of work per week.
– Flexible hours, allowing you to set your own schedule to meet the company’s needs.
– Regular communication with the Deja Blue Vacation Rentals team via email and virtual meetings.
