Job Description

We are a dynamic and rapidly growing rental property management and investment company based in the DC-Maryland-Virginia area. We specialize in managing short-term and mid-term rentals listings on various platforms, including Airbnb, VRBO, HomeAway, Furnished Finders, and more. As part of our expansion, we are seeking a talented and motivated Property Management Assistant to join our team remotely.

Job Description:
As a Property Management Assistant, you will play a crucial role in managing our 15 – 30 listings across multiple platforms and ensuring smooth operations and communications for our guests and property owners.

Responsibilities:
1. Guest Experience:
Respond promptly to guest inquiries, booking requests, and messages through various platforms, including Airbnb, VRBO, HomeAway, Furnished Finders, etc.
Provide local information and recommendations to guests, including trip-schedule arrangements and addressing guest questions.
Support guests through troubleshooting on various issues on the platforms as well as at the properties to ensure a 5-star experience for the guests.
Find and reach out to vendors (plumbers, handymen, etc.) as needed for repairs or attention to problems during guest stay.

2. Check-in and Check-out Management:
Assess feasibility of check-in/check-out requests from guests and coordinate with cleaning teams and guests if accommodating.
Coordinate with cleaning and maintenance staff to ensure properties are prepared for guest arrivals and departures.

3. Listing Optimization and Calendar Management:
Assist in creating and updating property listings on multiple platforms, including writing compelling descriptions and uploading high-quality photos.
Update calendar availability and pricing based on market trends and demand.
Manage updates to the company website to reflect accurate property information and availability.

4. Responding to Public Reviews:
Monitor and respond to public reviews left by guests on various platforms.
Craft thoughtful and professional responses to both positive and negative reviews to maintain a positive online reputation.

5. Cleaning, Maintenance, and Inventory Management:
Coordinate cleaning and maintenance services with service providers to ensure properties are well-maintained and in excellent condition.
Coordinate regular inspections of properties to identify any issues and address them promptly.
Manage inventory, reorder, and coordinate with local teams for supplies, such as linens, soaps, snacks, coffee, etc.
Monitor battery levels on smart locks, cameras, etc.

6. Tracking Expenses:
Maintain detailed records of property-related expenses, including cleaning fees, maintenance costs, utility bills, and supplies.
Use accounting software or spreadsheets to track expenses accurately and categorize them for budgeting purposes.

7. Continuous Improvement:
Continually improve upon existing operations, creating and implementing additional or enhanced SOPs and workflows.
Stay informed on industry trends and competitor listings

8. (Optional) Social Media Management:
Proficiency in creating engaging social media content, including static posts and dynamic reels, utilizing graphic design tools such as Canva and video editing platforms like Instagram Reels.

Requirements:
– Excellent communication and interpersonal skills. Fluent in English, both written and verbal.
– Experience working in a similar role, preferably in the hospitality or short-term rental industry.
– Familiarity with various short-term and mid-term rental platforms, including Airbnb, VRBO, HomeAway, Furnished Finders, Zillow, etc. Prior experience working with Airbnb is essential. We want someone who knows the ins and outs of the platform and can navigate it effectively.
– Familiarity with Google Docs or Microsoft Work, and Google Sheets or Microsoft Excel
– Familiarity with Trello / Asana
– Familiarity with property management system, such as Ownerez, Guesty or Hospitable
– Strong communication and interpersonal skills.
– Excellent organizational and time management abilities with strong attention to detail.
– Tech-savvy with proficiency in using various online platforms and tools.
– Reliable internet connection and power and a quiet workspace conducive to remote work.
– Curiosity with eagerness to learn. We are looking for a candidate that is not afraid to learn new platforms or technologies, will self-educate and skill up quickly.

Optional:
– Familiarity with social media platforms such as Instagram, Facebook, etc.
– Familiarity with Canva or graphic creation
– Familiarity with Turno
– Familiarity with smart-lock software such as Schlage, Yale, August and Jervis

Results:
– Maintain a review rating of 4.9 or higher
– Maintain 100% response rate to all inquiries
– Maintain response time of 10 minutes or less on all inquiries
– Resolve all guest issues
– Ensure smooth functioning of short-term and mid-term rentals
– Increase direct bookings, enhance brand name and provide exceptional customer service

Schedule & Rate:
– Full-time position (first 2 weeks is part-time for training, and after that, it will be full-time)
– Typical work week will be Monday – Friday, 8:30AM – 3PM EDT or EST w/ a 30 minute break
– After hours support: M-F, 1 hour per day (5 hours per week as needed to support guest communication during EST time evening)
– Weekend hours: 5 hours per week as needed for booking requests and supporting guest communication
– Anything beyond 5 hours for the weekend qualifies for overtime at 1.5x the hourly rate

PTO & Bonus:
– After 6 months of full time work, Paid Time Off of 2 weeks per year will accrue
– Performance bonus at the end of the year
