Job Description

Job Summary:
As a Property Management Virtual Assistant, you will be responsible for providing administrative and operational support to property managers and real estate professionals remotely. You will assist in various tasks related to property management, tenant communication, property maintenance, and administrative duties to ensure efficient operations and client satisfaction.

Responsibilities:

Tenant Communication:
Respond to tenant inquiries and concerns via email, phone, or messaging platforms.
Coordinate maintenance requests and communicate with tenants regarding scheduling and updates.
Assist in lease renewals, rental agreements, and tenant onboarding processes.

Administrative Support:
Manage and organize digital files, documents, and databases related to properties, tenants, and vendors.
Schedule appointments, meetings, and property inspections for property managers.
Assist in preparing reports, presentations, and financial documents as needed.

Property Maintenance:
Coordinate with maintenance staff, contractors, and vendors to address property repairs and maintenance issues.
Schedule routine maintenance tasks such as landscaping, cleaning, and inspections.
Monitor property maintenance budgets and expenses.

Leasing and Vacancy Management:
Assist in advertising vacant properties and scheduling property showings for prospective tenants.
Process rental applications, conduct background checks, and assist in lease signing processes.
Maintain accurate records of vacancies, rental payments, and lease expirations.

Prospecting New Owners:
Research and identify potential property owners interested in property management services.
Reach out to property owners via email, phone calls, or other communication channels to introduce services and discuss potential partnerships.
Schedule and conduct virtual meetings or presentations to showcase the benefits of partnering with the property management company.
Follow up with leads and maintain a database of prospective owners for future outreach.

Client and Vendor Relations:
Communicate with property owners, investors, and stakeholders regarding property updates, financial reports, and inquiries.
Build and maintain positive relationships with vendors, contractors, and service providers.

Requirements:

Proven experience as a virtual assistant, administrative assistant, or in a similar role.
Knowledge of property management principles, leasing laws, and real estate terminology.
Excellent communication skills, both written and verbal.
Proficiency in using virtual communication tools, project management software, and Microsoft Office Suite.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Attention to detail and ability to maintain confidentiality.
Flexibility to adapt to changing priorities and work independently in a remote environment.
Additional certifications or training in property management or real estate is a plus.
Working Conditions:

This is a remote position, requiring a reliable internet connection and a suitable workspace.
Flexible working hours may be required to accommodate different time zones or urgent tasks.
Occasional availability during evenings or weekends may be necessary to address emergencies or time-sensitive matters.
