Job Description

As a Property Manager Virtual Assistant, you will play a vital role in supporting property managers and real estate professionals in efficiently managing their property portfolios and providing exceptional client service, all from the comfort of your remote workspace. Your responsibilities will encompass a wide range of administrative and operational tasks that contribute to the smooth functioning of property management operations. Key duties include:
Administrative Support: Assist property managers with administrative tasks, including organising schedules, managing emails, coordinating appointments, and maintaining records and documentation.
Tenant Communication: Serve as a point of contact for tenant inquiries, responding promptly and professionally to questions, concerns, and requests for information.
Lease Administration: Help draft, review, and manage lease agreements, ensuring accuracy and compliance with legal requirements.
Rent Collection: Monitor and track rent payments, sending reminders and coordinating follow-up actions as needed.
Maintenance Coordination: Collaborate with contractors and maintenance teams to schedule repairs, inspections, and routine maintenance tasks, while keeping property managers updated on progress.
Data Management: Maintain accurate databases and records of property details, tenant information, lease terms, and other relevant data.
Documentation and Reporting: Prepare and maintain reports on property performance, occupancy rates, maintenance schedules, and financial summaries for property managers’ review.
Online Platforms: Utilise property management software, communication tools, and virtual collaboration platforms to facilitate smooth communication and information sharing.
Market Research: Conduct research on local real estate market trends, rental rates, and property values to support property managers in making informed decisions.
Problem Solving: Assist in addressing tenant issues, maintenance emergencies, and other challenges by coordinating timely solutions and communication.
Financial Tracking: Support property managers in tracking expenses, preparing budgets, and ensuring accurate financial record-keeping.
Compliance Awareness: Stay informed about relevant property management regulations and assist in ensuring that all operations adhere to legal requirements.
Client Relations: Maintain positive relationships with property owners, tenants, and stakeholders through courteous and professional interactions.
