This role will work directly with the portfolio property manager as he carries out the day-to-day management of the company’s rental property & fix & flip businesses. The Virtual Assistant will be responsible for managing financial matters, coordinating maintenance work, drafting leases, and preparing performance reports. The Virtual Assistant will often have the initial & frequent contact with our tenants, managing the daily operations of properties, advertise vacant properties, and handle tenant relations.

Major Responsibility: Property Management
• Manage stabilized / existing rental portfolio of ~100 rental units ranging from commercial, MF & SFR’s; marketing, leasing, assigning work orders to vendors. Improve the use of operations wherever possible. (Our current structure is Appfolio & Google Drive.)
• Respond to tenant inquiries and concerns via email, chat, or phone in a prompt and professional manner.
• Assist with the screening and processing of rental applications, including conducting background and credit checks.
• Coordinate lease agreements, including preparing and reviewing contracts, ensuring accuracy, and obtaining necessary signatures.
• Maintain accurate and up-to-date records of tenant information, lease agreements, rent payments, and property maintenance requests.
• Schedule property viewings, inspections, and maintenance appointments, coordinating with tenants, vendors, and property owners.
• Assist with rent collection and financial recordkeeping, including tracking rental payments, sending reminders, and preparing monthly reports.
• Manage property listings on various online platforms and assist with marketing efforts to attract potential tenants.
• Assist in resolving tenant disputes or complaints, working closely with property managers to ensure timely and satisfactory resolutions.
• Conduct market research and assist with competitive analysis to support property pricing and marketing strategies.
• Perform general administrative tasks such as filing, data entry, and document management.
• Manage utility billing organization for portfolio
• Create MLS listing drafts for “for sale” properties that owner’s will list themselves
• Accounting coding in Google spreadsheets weekly
• Reconcile Appfolio, Home Depot, & other regular payables / receivables monthly
• Communicate with third party bookkeeping firm monthly for edits & clarity

Minimum Skills & Qualifications:
• 3+ years of real estate or construction related experience
• Advanced knowledge of Appfolio software
• Intermediate to advanced excel/spreadsheet knowledge
• Extremely strong communication & relationship building skills

Qualifications:
• 3+ years of property management experience
• 2+ years of customer service
• 2+ years of leasing & marketing real estate
• 2+ years managing others
