We are seeking a skilled Virtual Assistant to join our team and help manage our utility accounts and support our accounting processes.

Job Description:

We are looking for a highly organized and detail-oriented Virtual Assistant to manage utilities and assist with accounting tasks. The ideal candidate will have experience in property management, utilities management, and accounting, with proficiency in Appfolio software.

Key Responsibilities are but are not limited to:

Utilities Management:

1. Set up, manage, and close utility accounts for various properties.
2. Obtain and verify utility account numbers.
3. Set up landlord leave on utility accounts to ensure continuous service.
4. Build and maintain relationships with utility companies and vendors.
5. Communicate with utility vendors via email and phone to resolve any issues.

Accounting Support:

1. Assist with accounting tasks related to utility management.
2. Check and verify utility numbers and accounts for accuracy.
3. Utilize critical thinking skills to identify and correct discrepancies.

Communication:

1. Email vendors and utility companies to manage account details.
2. Call utility companies to build and maintain relationships.
3. Provide excellent customer service to vendors and clients.

Requirements:

– Proven experience as a virtual assistant, preferably in property management.
– Strong accounting skills and experience with utility management.
– Proficiency in Appfolio software.
– Excellent organizational and multitasking abilities.
– Strong critical thinking and problem-solving skills.
– Excellent communication skills, both written and verbal.
– Ability to work independently and manage time effectively.
– Experience with email communication and managing professional relationships.

Preferred Qualifications:

– Previous experience working in a property management company.
– Experience in managing utility accounts and working with utility vendors.
– Familiarity with landlord leave processes and utility account management.
