We are seeking a highly organized and proactive Virtual Assistant to support our small property management team. The ideal candidate will be responsible for handling various administrative tasks related to tenant outreach, contractor coordination, and overall property management operations. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. To start this will be a part-time position, but has the potential to lead to more.
Responsibilities:
Tenant Outreach:
– Respond to tenant inquiries promptly and professionally.
– Coordinate lease agreements, renewals, and move-ins/move-outs.
– Conduct regular check-ins with tenants to ensure satisfaction and address any concerns.
Contractor Coordination:
– Communicate with contractors for maintenance and repair tasks.
– Schedule and coordinate property inspections and necessary services.
– Track and follow up on maintenance requests, ensuring timely resolution.
Administrative Support:
– Assist in the creation and organization of property-related documentation.
– Manage and update property databases, including tenant information and maintenance records.
– Prepare reports on property performance and upcoming tasks.
Communication and Correspondence:
– Act as a liaison between property management, tenants, and contractors.
– Facilitate effective communication through emails, phone calls, and virtual meetings.
– Keep all stakeholders informed about important updates and developments.
Calendar Management:
– Schedule appointments, property viewings, and other property-related events.
– Coordinate meetings and follow-ups to ensure smooth operations.
Task Prioritization:
– Prioritize tasks and manage time effectively to meet deadlines.
– Assist in organizing and prioritizing the property manager’s daily schedule.
Qualifications:
– Proven experience as a virtual assistant or in a similar administrative role.
– Excellent written and verbal communication skills.
– Strong organizational and multitasking abilities.
– Proficient in using communication tools, email platforms, and Microsoft Office Suite.
– Familiarity with property management software is a plus.
– Ability to work independently and collaboratively in a remote environment.
– High level of confidentiality and professionalism.
Working Conditions:
– This is a remote position with flexible working hours. Ideal work hours will be from 9AM-5PM Eastern Standard Time.
