Job Summary:
As a Virtual Assistant Property Manager at Hanza Realty, you will play a crucial role in managing the day-to-day operations of our property management portfolio. This remote position demands exceptional organization, communication, and multitasking skills, as you’ll be responsible for handling tenant communications, property management tasks, and administrative duties. Key Responsibilities:
Tenant Communication: Serve as the primary point of contact for tenant inquiries, concerns, and requests via phone, email, and other communication channels.
Property Management: Assist in various property management tasks, including scheduling maintenance, coordinating lease renewals, and onboarding new tenants.
Buildium Management: Use Buildium property management software to maintain tenant records, track due diligence tasks, and manage lease documentation.
Document Management: Retrieve and organize property-related documents and perform accurate data entry into our systems.
Tenant Screening: Pre-screen prospective tenants, verify previous landlord references, and confirm current employment.
Follow-up: Ensure timely follow-up with tenants regarding rent payments, delinquent accounts, payment schedules, lease renewals, and general inquiries.
Marketing Support: Contribute to marketing efforts for rental listings, collaborating with other departments, including leasing agents, maintenance, accounting, and admin.
Regular Hours and on-call: Maintain regular office hours (Monday-Friday, 9 AM to 5 PM) while being available for on-call responsibilities as needed.
Qualifications:
Tech-savvy with proficiency in using property management software, especially Buildium.
Fluent in English with strong written and verbal communication skills.
Accounting or bookkeeping experience is a plus.
Excellent interpersonal skills, conflict resolution abilities, and problem-solving capabilities.
