We are a dynamic food company specializing in the production, distribution and sales of nuts and confectionery products. As we continue to expand our operations, we’re seeking a highly skilled Virtual Assistant to join our purchasing department. This role is crucial in ensuring our supply chain’s efficiency and cost-effectiveness by managing purchase orders, analyzing supplier prices, and sourcing new suppliers to meet our quality and financial objectives.
Key Responsibilities:
– Purchase Order Management: Efficiently create and manage purchase orders within QuickBooks, ensuring accuracy and compliance with our procurement policies.
– Price Monitoring: Utilize Excel to conduct regular price comparisons among different suppliers. Proficiency in VLOOKUP, XLOOKUP, pivot tables, and other data analysis tools is essential.
– Supplier Communication: Actively gather quotes from existing suppliers and negotiate terms to secure the best prices and quality.
– Supplier Sourcing: Proactively seek new suppliers that meet our quality standards and price requirements, with a focus on expanding our network within the nut and confectionery industry.
– Process Documentation: Document each process with clear steps and screenshots, and update as necessary.
– Communication Skills: Excellent command of the English language, with the ability to communicate fluently and professionally with US companies.
Requirements:
– Proven experience as a purchasing assistant, preferably in the food or manufacturing industries.
– Strong proficiency in QuickBooks and Microsoft Excel, including VLOOKUP, XLOOKUP, pivot tables, and other data analysis functions.
– Excellent negotiation and supplier management skills.
– Fluent in English, with outstanding written and verbal communication abilities.
– Ability to work independently in a remote setting.
Technical Requirements:
– Minimum of two computer monitors to facilitate efficient multitasking and analysis.
– High-speed, reliable internet connection to support seamless work and communication.
– Familiarity with IT communication tools, matching our internal setup.
– Proficiency in Google Meets and Zoom for virtual meetings, and Slack and Gmail for daily communications.
