We are looking to hire an experienced bookkeeper / accountant to work part time and join our Agency and over see the books for our portfolio of Companies. You must be proficient in Quickbooks Online and have relevant work experience in ecommerce, website agencies, and restaurants if possible. Below is a breakdown of how the Companies are set up.
You will need to be a master at Excel and Google Sheets. We primarily use Google Sheets. The ability to export reports, and manipulate them is mandatory. You will also need to be able to create relevant tables, graphs, and charts at request.
For almost all of our books, we also use []() to dump in the transactions from each bank account and credit cards. If the bank does not have an online connection, you will need to manually import the transactions into the Google Sheet. We have a method where we first use this software to see all transactions, then categorize them accordingly. If we don’t know what a transactions is, we can commend and tag people on the google sheet. You will need to learn how to use Tiller in depth as it also has really good templates built in. You will also need to create/update chart of accounts in Tiller to match the chart of accounts in QBO.
**At the end of every month, you will need to reconcile the books of each company in Quickbooks Online. You will need to:**
– Obtain PDF bank statements if needed for beginning and ending balances
– Create Rules to automate some transactions that match automation rules in tiller
– Reconcile actual sales from accounts such as Stripe and Paypal, and break them down into corresponding categories along with merchant fees
– Reconcile any loans and liabilities with interest expense versus principal
– Reconcile any invoices unpaid or paid partially using accrual accounting
– Create financial statements, and customize them based on requests.
**Here are some examples of the companies you will be working on below -**
Company A – we previously used and we ended service with them at the end of 2022 and I believe everything was on a modified cash basis. We need you to take our books and data and create a QBO account for us from scratch with chart of accounts and everything. There are 2 business owners, myself and my brother. Our business has multiple channels described below. I would like everything on accrual basis.
Agency – We sell website design and marketing services and we bill through Stripe which charges us merchant fees. You need to breakout the merchant fees. When we sell a website, we collect half payment up front, then the remaining once the project is done in a month or so. For expenses, we have to pay our sales reps and developers. Once we make a sale, you will need to record the income in accrual basis, and if they are paying us 50% later, that becomes an account receivable or what makes sense.
Ecommerce – We run a Shopify store and Etsy Store and will open an Amazon store in the future. For shopify you will need to record expenses and income and be able to break down merchant fees. We accept payment via paypal, shopify, pay later, and amazon. So you will need those monthly statements. For Etsy, you will get a monthly statement.
The business has 2 loans or liabilities out with Novo bank and Stripe. You also need to reconcile owner contributions and withdrawals and guarantee payments.
The biggest reason we are leaving Novo is because they cannot break down our business channels. We would like to separate the business into 3 groups: Agency, Etsy, and Shopify Store and categorize income and expenses accordingly. You will need to be able to do this in QBO. An added plus is if you can help us forecast revenues in the future based on our previous history and run rates.
Company B – This is a restaurant chain that has been around for 5 years which I own with multiple investors. There are multiple entities or LLCs that have different revenue streams. We have 3 restaurants that are 3 separate LLCs which is the bulk on our income. We also have a franchise LLC which gets royalty income. We have a Holdings LLC which owns all the other LLCs.
This is a mature business and we have a CPA and tax CPA. We are just looking for a bookkeeper to record and reconcile the monthly data from Clover, Uber Eats, Door Dash, Grubhub, etc. Having experience in these platforms is a huge plus.

You will work on a part-time hourly basis and you will record your time using our in-house software. A bulk of your work will probably be end of month with all of the reconciliation.
We prefer a very knowledgable freelancer opposed to an agency or firm. You will also need to record notes / rules for each company in a database such as Notion, and sometimes create recordings on how to do certain tasks in quickbooks.
