Job Description

A small but growing Real Estate and Insurance husband and wife team are looking to grow and is hiring a first Virtual Assistant to assist with administrative tasks. 20 hrs/week to start, but as the business grows, capacity for more hours can and will be added.
Fil-Canadian employer, so there won’t be a language barrier.

Administrative:
* Data Entry – entering contract details into virtual office and CRM (KVCore/Prospects for RE, Hubspot for Insurance)
* Document Upload – Uploading documents to Virtual Office
* Client/Service Provider Liaison when necessary – Confirming courier service for bank draft (role may expand in the future), * obtaining addresses and time.
* Database management – Ensuring data is accurate and mostly complete
* Client liaison when necessary – Email using templates provided
* Future role – Using ChatGPT AI to complete real estate listing details for REALTOR review and approval

Appointment booking:
* Outbound calling, texting, and emailing to clients and strategic alliances/referral partners, calendar scheduling (Google * Calendar) for nurture. (Real Estate, scripts and templates provided). Fill calendars with pre-qualified appointments.
* Client annual review appointments email, text, phone calls (Insurance)
* Online lead follow -up. We regularly get leads from our website and advertisements (scripts)

Defined procedure and system manual.
Experience with real estate or insurance agency is preferred.

Requirements:
– Tagalog speaking is an asset as 80% of our client base speaks Tagalog
– Reliable internet at home
– Ability to work without supervision, and follow procedures and checklists
– Attention to detail
