Description
The NEI Team seeking a highly organized and detail-oriented Event Coordinator to join our team. As an Event Coordinator, you will play a crucial role in ensuring the success of our in-person event by coordinating various aspects of event planning, communication, and logistics. You will be responsible for managing event details, coordinating with speakers and vendors, maintaining social media presence, and performing data entry tasks.
Responsibilities:
1. Event Coordination:
– Communicate with speakers to ensure their understanding of event timing, technical requirements, and document submission deadlines.
– Collaborate with speakers to gather necessary event materials, such as presentation slides, handouts, and bios.
– Coordinate event logistics, including scheduling, agenda creation, and session sequencing.
– Work closely with the event team to ensure seamless execution of event coordination
– Contact venue to confirm scheduled dates for meetups
2. Vendor/Sponsor Management:
– Liaise with vendors, such as technology providers and streaming platforms, to ensure smooth operation of in-person events.
– Communicate with vendors regarding technical requirements, equipment setup, and troubleshooting issues.
– Coordinate with vendors/sponsors to obtain necessary contracts, invoices, and deliverables.
– Coordinate with event sponsors to ensure they have all they need in preparation of meetups
– Send prepare and send documents for e-signature
3. Social Media and Online Presence:
– Manage and update social media accounts related to the events.
– Create engaging content for social media platforms to promote events, drive attendee engagement, and generate interest.
– Monitor and respond to inquiries or comments on social media platforms in a timely and professional manner.
– Collaborate with the event team to develop effective strategies to maximize event exposure and reach.
– Post and update event information to various online platforms (ex. Facebook, LinkedIn, and more)
– Utilize AI for creation of social media content (Preferred but not required)
4. Attendee Data Management:
– Perform accurate data entry and maintenance tasks to maintain an up-to-date attendee database.
– Generate reports and analyze attendee data to provide insights and recommendations for future events.
– Ensure attendee registration information is accurate and complete.
5. Financials
– Track subscriptions for meetup (ex. , mailchimp and etc)
– Manage and track event refunds
– Collect and document receipts for events
6. Website Management
– Update NEI website with information regarding monthly meetups
Requirements:
– Proven experience as an Event Coordinator or in a similar role.
– Proficient in using event management platforms, such as Eventbrite, to manage registrations and track attendees.
– Strong knowledge of social media platforms and experience in managing social media accounts for events.
– Familiarity with invoicing systems and experience in managing financial aspects of events.
– Excellent organizational and time management skills to handle multiple tasks simultaneously.
– Exceptional communication skills, both written and verbal, to effectively interact with speakers, vendors, and attendees.
– Attention to detail and ability to maintain accuracy when managing data and logistics.
– Flexibility and adaptability to work in a fast-paced environment.
– Ability to troubleshoot technical issues related to events.
– Bachelor’s degree in event management, communications, marketing, or a related field is preferred but not required.
