In this role, we are seeking a highly motivated and organized individual to join our team as a Real Estate Executive Assistant. As an Executive Assistant at FreedUp, you will have the opportunity to work closely with senior executives in a fast-paced and dynamic environment. Your role will involve providing essential administrative support to ensure the smooth functioning of daily operations for our clients. This is a fantastic opportunity for a detail-oriented individual with exceptional organizational skills to make a significant impact and grow within a successful and innovative company.
Schedule:
Monday – Friday 8am-5pm CST / 9pm -6am PHT
Pay Range:
$800-$1000 USD/monthly
Duties and Responsibilities
– Triage Executive’s email inbox and respond to emails on the Executive’s behalf
– Provide virtual support on various items, including maintenance requests, signing leases, scheduling showings, conveying pricing, and following up on events
– Execute paperwork, including leases, lease amendments contracts (property level), lease renewals, etc.
– Communicate important announcements and notices to residents across different channels
– Act as an administrative assistant to the operations manager to help manage residents, vendors, and in-house tasks
– General office management (office supply orders, maintenance requests, scheduling couriers, etc.)
– Create and maintain a well-structured, easily searchable knowledge base using tools like Evernote or Notion.
– Handle confidential and sensitive information with the utmost discretion and professionalism
– Conduct research and gather information to assist in decision-making and problem-solving
– Serve as a liaison between senior executives, employees, and external stakeholders
– Capable of creating high quality Standard Operating Procedures (SOPs)
Qualifications:
– Minimum of 2-3 years of experience as an Executive Assistant or in a similar administrative role
– Bachelor’s degree in Business Administration, Communications, or related field preferred.
– A proven track record of supporting real estate executives in a virtual setting is required
– C2 level proficiency in English, both written and spoken
Skills:
– Excellent verbal and written communication skills.
– Advanced proficiency in Microsoft Office Suite, Gsuite, Notion, Airtable, and similar tools
– Strong organizational and time-management abilities
– Ability to multitask and prioritize tasks effectively
– Ability to work independently and collaboratively in a team-oriented environment
– Attention to detail and problem-solving skills
– High level of professionalism and discretion
Technical Requirements:
– Reliable high-speed internet connection with a minimum speed of 50 Mbps download and 10 Mbps upload.
– A modern computer or laptop with a multi-core processor (Intel i5 or higher/equivalent).
– Proficiency with remote communication tools such as Zoom, Microsoft Teams, Slack, or Google Meet.
– A noise-canceling headset with a microphone for clear communication.
