Anna Buys Houses has an immediate opening for an Executive Assistant/Transaction Coordinator. This is a fantastic opportunity for a high-performing master organizer who can support our CEO, COO, and client advocate team, and who can help implement office standards to streamline our processes.
We seek an administrative professional whose talents, personality, skills, and abilities will enable them to be a key team member. This position allows for challenge, flexibility, and personal growth.
Key Responsibilities include:
– Answer incoming calls and make outgoing calls to clients, potential leads, lenders, title companies, contractors, etc.
– Schedule appointments (using our calendar system) and make staff travel arrangements as needed
– Organize and maintain virtual files efficiently
– Conduct preliminary research and analysis of single-family and multi-family real estate properties (price, location, condition, etc.) to help staff with outreach to potential clients
– Create a digital sales packet for our client advocate-sales staff before each appointment
– Enter pertinent property and client data into our real estate CRM (customer relationship management) program
– Complete due diligence, and help facilitate closings when we buy and sell properties; work with clients, agents, and title companies to ensure transactional documents are in order
– Track all key deadlines, including closing dates, rehab deadlines, and utility switch-over dates
– Oversee logistics of online and print marketing programs, including social media and direct mail
– Serving as the tech coordinator for the team
– Other administrative tasks as needed to help the Anna Buys Houses team & their clients
Qualifications and Experience
– One-to-three years prior administrative experience
– Excellent phone skills and ability to speak respectfully to all
– Excellent written communication skills
– Excellent organizational and task management skills
– Must be able to juggle multiple projects simultaneously
– Keen attention to detail
– Technologically savvy and quick to learn
– Self-driven and able to demonstrate a high level of initiative, excellent judgment, and pride in your work
– Excellent time-management skills to work remotely
– Happy and responsible to provide an end-of-day email and other reports as needed
Skills:
– Minimum American English skills level CEFR C2 or TOEFL iBT 120+
– Minimum score of 120 on an IQ test
– High strength in the Steadiness category of the DISC profile
– Exceptional understanding of American English grammar, spelling, punctuation, syntax, and vocabulary
– Comfort accepting extensive feedback constructively, learn from it, and improve
– Strong interpersonal skills to communicate and work effectively with multiple teams
– Proven ability to work independently to a large degree, but collaborate when appropriate
– Highly organized, detail-oriented, and able to manage/execute multiple ongoing projects
– Working knowledge of Microsoft Office Suite, Internet research, and Skype
– Working knowledge of social media platforms and their best practices preferred (Facebook, Snapchat, Twitter, YouTube, Instagram, Pinterest, Tumblr, Google, etc.)
– Additional skills in graphic design, SEO, advertisement production, and marketing are highly desirable.

Our Team
In addition to founders Anna and Eric, our company’s team members include a Client Advocate/Salesperson, a Project Manager (for rehabs), three writers, and a bookkeeper. All of these individuals work remotely.
Working Time
This is a Monday-Friday position, U.S. Central time zone. Most of your work will be independent, and your hours can be somewhat flexible, depending on project timelines and deadlines. On some days the work demands will be greater than on other days, so additional work time may be required beyond regular business hours, occasionally on weekends. You’ll need a cell phone and a computer with reliable internet access.
Reporting and Accountability
You will report to Anna and Eric and keep a log of the week’s accomplishments. You’ll have a weekly meeting (in person or by phone) with us to discuss work projects and upcoming tasks.
Compensation
Payment will be made monthly, after the last day of the month. Bonuses are paid when houses are profitably sold. We provide pay for the 13th month. You will receive standard Philippine holidays off. Members of our team are also welcome to take their birthdays off.
