About the Role
The client is a boutique buyers agency dedicated to assisting clients in navigating the property market, whether for home ownership or investment purposes. With a team led by the Company Founder & Director, they operate two divisions: an Interstate Investment Property segment and a Central Coast division. Their approach prioritises understanding clients’ needs to ensure a seamless, stress-free, and enjoyable property journey.

As a Real Estate Operations Assistant, you’ll play a pivotal role in supporting the clients’ property journeys. You will provide essential support across both divisions, managing administrative tasks and real estate-related responsibilities. If you have strong organisational skills, attention to detail, and the ability to handle multiple duties efficiently in a dynamic environment, we’d love to meet you!

Key Responsibilities
General Assistant Duties:
Draft Property Investment Reports utilising provided templates and previous reports, to be sent under the Founder/Company Director’s name.
Compose anniversary and check-in emails for past clients, liaising with sales agents and conducting desktop appraisals to offer relevant property information.
Coordinate meeting agendas for Discovery Calls and other meetings, facilitating communication between clients and our team.
Schedule Set To Buy, Investment Strategy, and Personal Investment Reviews (PIR) meetings with clients, sending necessary emails (e.g., Zoom links, calendly links).
Manage the CRM (Zoho) with updated and detailed client notes and information from various meetings.
Manage the calendar by adding important dates such as settlement dates and anniversary check-ins.
Engage with clients, agents, and stakeholders via email, phone calls, and virtual meetings, providing excellent customer service and addressing inquiries promptly.

Real Estate Duties:
Scan property websites for potential investment opportunities, gather information, review comparables, recent sales, and market data.
Contact agents to obtain detailed property information, conduct due diligence including flood zone and comparable sales analysis.
Shortlist potential properties in the CRM, providing additional due diligence information.
Assist in drafting emails for company Founder & Director to present properties to clients, ensuring clear and concise communication.

Confidentiality:
Uphold confidentiality when handling sensitive client information, ensuring compliance with privacy regulations and company policies.

Reporting Structure and Team Dynamics:
Report directly to Founder & Director of the company and collaborate with Operations Manager. Additionally, support other team members as required.

Other Responsibilities
Make necessary process suggestions and improvements which can help the team.
Contributes to team effort by accomplishing related results as needed.
Perform other related tasks and duties that may be assigned by the client later on.

About You
Minimum 3 years experience in a similar role
Excellent communication skills, both written and verbal.
Proficiency in CRM software, experience with Zoho is a plus
Strong organisational skills with the ability to multitask and prioritise effectively.
Flexibility and adaptability to changing priorities and tasks.
Ability to conduct market research and gather relevant data.
Attention to detail and accuracy in all tasks.
Understanding of the importance of confidentiality in handling sensitive information.
