As a Virtual Operations Manager, your role will involve closely collaborating with our client to ensure the smooth functioning of their business on a day-to-day basis. You will oversee various projects and assign tasks to team members while offering guidance and support to ensure all work is completed to a high standard.
To succeed in this role, you must possess excellent organizational, communication, and leadership skills and a proven track record in managing complex projects. Responsibilities:
* Oversee day-to-day operations, ensuring the smooth functioning of administrative tasks, procedures, and processes.
* Communication with Marketing, Leadership, Agents, and other departments to ensure tasks are completed.
* Oversee the entire process of real estate transactions from initiation to closing.
* Coordinate with attorneys, escrow companies, lenders, and other stakeholders to ensure smooth and timely closings.
* Review and ensure all transaction documents are accurate and complete.
* Maintain and manage the company’s CRM system, ensuring all client and lead information is up-to-date.
* Monitor agents’ activities within the CRM to ensure leads and clients are being properly followed up with and managed.
* Manage the scheduling and coordination of property showings, open houses, and inspections.
* Maintain organized records of all transactions, communications, and relevant documents.
* Manage email and calendar for executives, including scheduling and prioritizing appointments, meetings, and events.
* Coordinate and schedule team meetings, track action items, and follow up on progress.
* Develop and maintain strong relationships with clients and vendors, and manage any issues that may arise.
* Assist in training new employees on operational processes and company policies.
* Proactively identify areas for improvement, cost reduction, and operational enhancement.
* Develop and document standard operating procedures (SOPs) to streamline operations and ensure consistency.
* Utilize data and metrics to measure performance, identify areas for improvement, and implement corrective actions.

Qualifications:
* Must have 3+ years as a Real Estate Operations Manager
* Experience collaborating and working alongside attorneys, escrow companies, lenders, and other stakeholders
* Must know TC processes and know when to jump in for support.
* Proven expertise in SOP development and implementation.
* Strong experience in managing listings, transactions, and CRM systems.
* Robust background in real estate lead generation strategies.
* Excellent communication and leadership skills are required.
* Ability to collaborate and delegate tasks to team members effectively
* Excellent organizational skills and the ability to manage multiple tasks seamlessly.
