Job Description

We are seeking a highly organized and detail-oriented virtual assistance to join our team long-term and help with real estate property management. A successful candidate is someone with the ability to work independently and manage multiple tasks simultaneously and not looking to switch from job to job.

Requirements are:

-Must be proficient in English and have very little accent when speaking
-Basic Spanish will be needed with some tenants but not required at the time
– Must have Buildium software experience
-Internet connectivity must be reliable
-Noise-canceling headset with clear microphone
-Experience with Word/Google Sheet and Google Drive
-Intermediate Microsoft Office skills
-Real estate property management experience
-Must be able to finish tasks in a quick and reliable manner
-Must have common sense and critical thinking skills
-Candidate with high level of integrity and ethics who wants to be part of a team

Job Overview

The initial time that we are looking for is about 15 hours a week, with the possibility of additional hours in the near future.

Some of the tasks of the PM VA are included below, but others will be added over time. Flexibility is essential.

– Check resident portals and office line for messages and requests
-Reply to messages and requests in a timely manner
-Communication with tenants, associations, and other property managers via e-mails and/or phone
-Follow up on tenants’ request for maintenance and contact/task out preferred vendors based on issue
-Schedule monthly, quarterly and annual recurring maintenance (HVAC servicing, pest control)
-Follow up with all contractors after service to help ensure work was completed and quality assurance was provided (photos, writeups of service performed or any issues)
-Escalate issues to management as needed
-Update mailing addresses for some of the clients with the Appraiser’s office
-Turn on/off utilities
-Ensure a lockbox is on the property and the code for access is documented
-Schedule/obtain pictures of the property for listings
-With approval from management, send and process leases and renewals
-Onboard new tenants
-Update social media and company’s website verbiage
-Miscellaneous administrative tasks

The PM VA will meet with management multiple times per week for progress updates and ongoing training and support.

This is an independent contract position. You are responsible for filing your taxes accordingly.
