As a Property Management Assistant, you’ll play a vital role in our operations, ensuring that our property management processes run seamlessly. With a focus on autonomy and trust, we’re looking for a committed team player who can take ownership of their tasks and excel in a remote working environment.

Key Responsibilities:
– Sending Daily Arrears Report to PMs
– Checking tenants in arrears – generate breaches, send reminders
– Doing an audit of tenants’ outstanding fees and invoices
– Creating water invoices to be charged to the tenants
– Generating lease renewal spreadsheet for each month, send owner feedback email
to PMs
– Generate and send lease renewal agreement to tenants.
– Saving documents on Property Tree
– Sending vacate packs to tenants and PMs
– Typing of ECR on ADL forms/Realworks then send to PMs
– Scheduling and sending entry notices for routine inspections each month
– Review routine inspections and generating reports/summary to be sent to
the PMs
– Sending work orders & quote requests for maintenance issues
– Doing maintenance audit and follow-up for PMs
– Entering New Managements on Property Tree and REX received from PMs/Sales
– Listing of properties on REX
– Entering Sales Enquiries on REX
– Processing of Applications on AppTracker
– Answering rental reference requests received from other agencies
– Sending approval email, generating and sending lease documents and sign up
packs for new tenants
– Various ad-hoc tasks

Qualifications:
To succeed in this role, you’ll need to bring the following qualities:
– Fluent in both written and spoken English.
– Proficient in computer operations and technology.
– Meticulous attention to detail and organizational skills.
– Highly efficient, organized, and capable of working independently with minimal supervision.
– Demonstrates honesty, punctuality, and reliability in all aspects of work.
– Dedicated to establishing a long-term working relationship.

Requirements for Remote Work:
– Fully equipped home office with a computer, microphone, headset, and webcam.
– Stable and reliable internet connection for seamless communication.
– Proficiency in Skype for team collaboration and communication.
– Familiarity with Microsoft Office Tools, especially Microsoft Outlook, experience in Property Tree and Inspect Real Estate is preferred
– Comfortable and distraction-free workspace to ensure optimal productivity.
