We are looking for a full-time superstar Transaction Coordinator for a busy Real Estate Team in Calgary, Canada. This important and fulfilling position will be working along with our Team Ops Manager to process real estate transactions for our real estate team. JOB SUMMARY
The Transaction Coordinator is a Virtual Assistant role. This person is responsible for every aspect of the Team’s Transactions including new listings through to final sales for buyers and sellers.
All staff shall also be cross-trained and may be asked to step-in and assist any other team member on an as-needed basis.

KEY RESPONSIBILITIES
Listing Administration:
• Convey all paperwork with the Brokerage including contracts, lawyer and lender info, amendments, price reductions, terminations, disclosure, and authorization forms, Fintrac, Agency, etc.
• Scheduling photography, floor plans, staging, obtaining keys (and copies if necessary), signage, lock box, etc.…
• Preparation of Pre-Listing Packages and arranging Delivery
• Preparing Comparative Market Analysis (CMA) for Agent’s review
• Maintain the electronic client files
• Writing property descriptions for listings (MLS and Brochure copy)
• Pre-sales and new-construction sales strategies, site signage, gathering of floor plans, renderings, spec sheets, DP/BP plans, etc.
• Tracking and Maintaining our Client Database
• Tracking Team’s numbers using the provided forms and online tools
• Training and overseeing new administrative staff
• Pre-load, proof, and make listings “Live” on MLS (with Agent Review)
• Maintaining and updating the online “Company Manual” with revisions or improvements to our business processes.
• Seller lead pre-qualification and preparation of information for the Listing Agent
• Communication with Buyers, Sellers and Vendors while providing an Exceptional Real Estate Experience to all our clients
• Assisting co-workers when required including vacation coverage

Closing Administration
• Scheduling home inspections, walk-throughs, possessions, key transfers, and communicating with our client as well as the cooperating Realtor and our vendors.

• Tracking Agent’s numbers using provided system
• Tracking and Maintaining our Client Database
• Maintaining and updating the online “Company Manual” with revisions or improvements to our business processes.
• Communication with Buyers, Sellers and Vendors while providing an Exceptional Real Estate Experience to all Team clients
• Maintain the electronic client files
• Taking a proactive approach in handling minor closing issues
• Ensure deposit cheques are delivered on time
• Arranging closing gifts and ensuring delivery with keys
• Training and overseeing new administrative staff
• Assisting co-workers when required including vacation coverage

Working Hours
Monday – Friday, 9:00am – 5:00pm MST (Mountain Standard Time)
