Job Title: Virtual Assistant – Transaction and Listing Assistant

Company Summary: We are looking for our next team member for our Real Estate Sales team, BORO Realty Group. We are a real estate team located in North Carolina, and have been in business since 2017. We are looking for a long-term relationship to help our team grow to it’s next level.

Job Description:

We are seeking a highly motivated and detail-oriented Virtual Assistant to join our dynamic real estate team as a Transaction and Listing Assistant. The ideal candidate will be responsible for managing all communication and processes from Contract to Close, ensuring a smooth and efficient transaction experience for our clients. As well as managing our Listing Launch process that takes a seller client from Listing Agreement to Active on Market. This role requires a proactive approach, exceptional communication skills, and a deep understanding of real estate transactions and listings.

Key Responsibilities:

Transaction Management: Handle all communication between parties from Contract to Close. This includes liaising with lenders, agents, team members, clients, attorneys, and contractors as necessary.

Closing Process Oversight: Ensure that all parties remain informed and on track throughout the closing process.

Email and Document Management: Manage team email accounts, ensure compliance, and handle the sending of documents for signatures as needed.

Inspection and Contractor Coordination: Order and schedule inspections and contractors.

Listing Coordination: Manage and track listing files, coordinate seller preparations for marketing, schedule cleaning, photography, sign installations, and handle listing MLS inputs.

Marketing and Advertising: Develop and execute marketing strategies for listings and open houses, including ad creation.
Reporting and Analytics: Compile weekly listing reports for clients and maintain current transaction data in our Brivity CRM.

Qualifications:

Proven experience as a Virtual Assistant or similar role, preferably in the real estate sector.
Strong organizational and time management skills with the ability to manage multiple tasks efficiently.
Excellent communication and interpersonal skills.
Proficient in using real estate CRM software, preferably Brivity, and standard office software.
Familiarity with real estate transaction processes, compliance requirements, and document management.
Ability to work independently and as part of a team.
Ability to make and receive phone calls during business hours.
