Job Description

Objective: Support daily operations and administrative tasks for a busy realtor, ensuring efficient transaction management, effective communication, and streamlined administrative processes.

Working Hours: Daytime hours as per Eastern Standard Time (EST). Please note that for applicants in the Philippines, this means working hours will typically fall during the night. Flexibility to align with this time zone is crucial.

Transaction Management:
Monitor and manage all real estate transactions from inception to close.
Maintain a systematic approach to handle contract to close timelines.
Coordinate with escrow companies, lenders, home inspectors, and other professionals involved in the transaction.

Writing Offers and Agreements:
Draft, review, and submit offers on behalf of clients, ensuring all details are accurate and in the client’s best interest.
Prepare listing agreements for seller clients with attention to detail and adherence to local regulations and practices.

Client Communication:
Engage in vocal conversations with clients to address queries, provide updates, and maintain a positive relationship.
Serve as the first point of contact for clients, ensuring professional and timely communication.

Answering Calls and Taking Messages:
Promptly answer all incoming calls in a professional manner.
Document and relay messages accurately and promptly to the appropriate party.

Scheduling and Coordination:
Schedule property showings for Audrey, ensuring availability and preferences are taken into consideration.
Coordinate appointments with sellers, buyers, and other agents.

Public Records Research:
Look up public records to find potential listings.
Gather property details, ownership data, tax information, and other relevant details from public records.

Required Qualifications and Skills:
Mandatory: Previous experience working with a real estate agent or team.
Knowledge of the real estate transaction process.
Proficiency in real estate software and tools.
Strong verbal and written communication skills.
Organizational skills with an acute attention to detail.
Ability to work independently and as part of a team.
