Job Description

We are seeking a highly organized and proactive Virtual Assistant to join our luxury real estate brokerage. As a Virtual Assistant, you will be responsible for providing comprehensive support to our team by managing various administrative tasks and ensuring smooth operations.

This role requires excellent communication skills, exceptional attention to detail, and the ability to multitask effectively. The successful candidate will have a keen interest in the luxury real estate industry and possess a strong understanding of digital marketing and social media platforms.

Responsibilities:

• Go through email inboxes and handle incoming messages and requests promptly and professionally.
• Complete graphic design work on Canva, Adobe Suite
• Respond to client requests and inquiries in a timely manner, providing accurate information and excellent customer service.
• Coordinate marketing requests and liaise with internal and external stakeholders to ensure materials are delivered on time.
• Manage incoming messages from photographers, videographers, marketers, and other professionals, ensuring timely responses and effective coordination.
• Create and send invoices for various services rendered by the brokerage.
• Assist in managing open house sponsors, coordinating with agents and sponsors to ensure successful events.
• Collaborate with agents and graphic designers to create compelling social media posts, including photo editing and caption writing.
• Update and maintain handouts and other marketing materials to reflect current listings and branding guidelines.
• Oversee the upkeep and organization of Luxe TV, our video content platform.
• Organize and maintain Dropbox folders, ensuring files are properly labeled and easily accessible to the team.
• Create PDF press articles highlighting the brokerage’s achievements and notable listings.
• Schedule social media posts across various platforms and confirm successful posting, monitoring engagement and responding to comments and messages.
• Engage with social media content by liking, commenting, and following relevant pages to increase the brokerage’s online presence.
• Post videos on YouTube and actively engage with comments and feedback from viewers.
• Assist in website upkeep and maintenance, including adding news articles, maintaining listings, and ensuring website information matches • MLS data accurately.
• Conduct internet research to identify top brokerages, agents, and potential high net worth clients in major cities.
• Perform market research to gather insights and support decision-making processes.
• Pull social media analytics and prepare reports to track performance and identify opportunities for improvement.

Qualifications:

• Knowledgeable with Adobe Creative Suite (Mainly Photoshop and some light work on InDesign)
• Microsoft Office, Google Suite, Dropbox, Slack
• Proven experience as a virtual assistant or in a similar administrative role.
• Strong organizational and time management skills, with the ability to prioritize tasks effectively.
• Excellent written and verbal communication skills.
• Proficient in digital marketing, social media platforms, and content creation.
• Detail-oriented and able to maintain accuracy while handling multiple tasks.
• Familiarity with luxury real estate industry and market trends is preferred.
• Proficient in using Dropbox, YouTube, and social media management tools.
• Ability to work independently and as part of a team, demonstrating strong collaboration skills.
• Strong research and analytical abilities, with a knack for gathering and interpreting data.
