Job Description

Busy real estate team seeks a Full Time Virtual Assistant with experience in Real Estate administrative support. **** READ TO THE BOTTOM FOR APPLICATION INSTRUCTIONS ***
Key functions include:
Database Management
Transaction Coordinator Assisting
Team Reporting
Various administrative projects
Pay depends on experience. Bonus after the first 90 days and quarterly bonus thereafter.
This is not an entry level position. We are seeking a highly skilled professional that is proficient in multiple of the below categories.
Candidate will be given some fundamental training on the systems we use. The candidate will be expected to take a project/problem and implement systems/processes and solutions on their own and not need to be micromanaged. Candidate needs to be able to see opportunities for improvement in our current systems and processes, collaborate with changes and lead those changes.

* 20-30 hours per week
DATABASE MANAGMENT
* Experience in sales, CRM, dialers, data management, pipeline, lead and lag measure reporting. In addition to this — experience in the mortgage or real estate industry a plus.
* Manage CRM contacts. Make sure drip plans and actions plans are being maintained at all times. Make sure all new leads make it into our CRM.
* Manage CRM text responses. Making sure the team is aware of important text messages tgat come in.
* Experience with Zapier a plus
* Experience with Mojosells (3 line dialing system) a plus
* Must have extensive CRM management experience
* Must be proficient in excel and google sheets and gsuite
* Taking attendance and notes for our team meetings and calls
* Taking attendance and notes for who attends team calling sessions
* Prepare team calling lists in CRM and our dialer
* Ability to export, clean/reformat data, import into another system
* Data reconcilliation projects
* Email and text message monitoring — making me aware of the “important” messages
* Eventually be able to manage other virtual assistants
* Email blasts to our database multiple times per week.
* Maintain Zapier zaps as it applies to various CRM and other systems.

TEAM REPORTING
* Creating, providing and maintaining lead and lag activity reporting for the sales team
* Creating, providing and maintaining appointment and conversion reporting for the sales team
* Creating, providing and maintaining leads generated by source reporting for the sales team
* Taking attendance and notes for our team meetings and calls
* Taking attendance and notes for who attends team calling sessions
* Prepare team calling lists in CRM and our dialer
* Export, clean/reformat, import data from and to various sources
* Data reconciliation projects
* Email and text message monitoring — making sales team aware of the “important” messages
TRANSACTION COORDINATOR ASSISTING
Assist with listing launch activities
Marketing
Input to MLS
Showing Time set up
* Uploading docs to broker compliance system
* Setting up transactions

Independent contractor will be given some fundamental training on the systems we use. Independent contractor will be responsible for mastering some tools and systems on their own that we are less experienced in to benefit the team and accomplish projects. Candidate needs to be able to see opportunities for improvement in our current systems and processes, collaborate with changes and lead those changes.
$3-$6/hour. Depends on experience.
