Job Description: Virtual Assistant (Part-Time with the option for full time if this works out)

We are a husband and wife real estate team seeking a highly organized and proactive Virtual Assistant (VA) to join our team.
As a VA, you will play a crucial role in supporting our real estate business by handling various administrative tasks and ensuring smooth operations. This is a part-time position with work hours between 9:30 a.m. and 1:30 p.m. on weekdays. If this business relationship is working out for the both of us, there will be an option for full time.

Responsibilities:

– Assist with transaction management, which will be a significant aspect of this role. Tasks will include drafting contracts for review, scheduling inspections, scheduling listing pictures, coordinating with vendors, adding important dates, appointments, deadlines to the team’s calendar, and collaborating with the title company and other involved parties to ensure timely submission of required documents.
– Work closely with clients to facilitate various tasks, such as setting up utilities, selecting insurance, choosing home warranty plans, and meeting deadlines.
– Schedule closing times and manage any changes or updates.
– Request reviews from satisfied clients to maintain a positive reputation.
– Input listing information accurately on the Multiple Listing Service (MLS) platform and create compelling captions on the MLS platform for pictures.
– Update the Customer Relationship Management (CRM) system with client information and interactions.
– Handle/screen new leads inquiries and add new leads to appropriate drip campaigns for effective lead nurturing.
– Create engaging emails using Active Pipe for new listings, open houses, and weekly updates.
– Manage inboxes, primarily focusing on urgent emails, bringing important matters to our attention, and handling junk email.
– Draft scripts for buyer/seller tips and neighborhood videos to enhance our marketing efforts.
– Utilize Canva, or other design tools to create visually appealing marketing flyers and social media graphics. (limited design work necessary, we will provide templates to work off of)
– Post content on various social media channels, including Instagram, TikTok, YouTube, Facebook, and LinkedIn, to enhance our online presence and engage with our audience (content will be provided).

Requirements:
– Proven experience as a Virtual Assistant or in a similar role.
– Must speak and write fluently in English
– Reliable internet connection
– General real estate knowledge or experience
– Proficiency in using social media platforms, including Instagram, TikTok, YouTube, Facebook, and LinkedIn.
– Experience using either Adobe Photoshop, Canva, or similar tools for graphic design.
