Job Description

We are a reputable property management company dedicated to providing exceptional service and value to our clients. We are currently seeking a versatile individual with experience in property management to join our team in the dual role of Administrative assistant and Remote Receptionist.

Administrative assistant:

•Process accounts payable invoices accurately and efficiently.
•Match purchase orders, receiving documents, and invoices to ensure proper billing.
•Verify and reconcile vendor statements and resolve discrepancies.
•Prepare and process payments, including checks, ACH transfers, and wire transfers.
•Maintain accurate records of transactions and vendor information in the accounting system.
•Respond to vendor inquiries and resolve payment issues in a timely manner.
•Receive payments and post deposits.
•Assist with Real Estate Transaction Coordination
•Listing Input – Enter and track office Listings.
•Commission Disbursements Processing

Remote Receptionist:

•Answer incoming calls in a professional and courteous manner.
•Be a callers’ advocate.
•De-escalate frustrated callers when needed.
•Schedule appointments and maintain calendars for staff members.
•Monitor and manage email correspondence and respond to inquiries promptly.
•Fully understand the tenant portal in AppFolio and how it works to guide tenants to use it efficiently.
•Fully understand the tenant legers in AppFolio to be able to communicate outstanding balances, how much is due and why charges were allocated.
•Fully understand the property management showing and application process, renewal, move out, owner statement , vendor payable processes to be able to appropriately guide callers.

Requirements:

•Previous experience as a receptionist or customer service representative in a property management setting is highly desirable.
•Solid understanding of basic accounting principles and accounts payable procedures.
•Excellent verbal and written communication skills.
•Proficiency in accounting software (e.g., QuickBooks, AppFolio) and Microsoft Office Suite (Word, Excel, Outlook).
•Ability to multitask and prioritize tasks effectively.
•Strong interpersonal skills and a friendly, customer-focused attitude.
•Reliable internet connection and home office setup conducive to remote work.
