As the Executive Assistant & Recruiting Admin, you will be assisting our Director of Recruiting with scheduling calls and interviews, supporting the team with head-hunting and managing our ticketing system, maintaining our jobs database and coordinating paperwork.
Ultimately, you’ll support the team so we can recruit great marketing talent efficiently and keep our hiring processes running.
The ideal candidate will:
** Have experience using tools like Time Doctor, Slack and Trello to manage team members
** Have customer service experience that informs how we need to setup our candidate communications workflow and train our team members to create the best hiring experience we can
** Be comfortable in spreadsheets and documents, to both maintain data, compile data, and review data for key learnings that impact company growth
** Possess a strong attention to detail, time management skills, and excellent team-working skills
** Have experience working in a fast-paced environment with weekly deadlines
** Has a genuine passion for supporting others
** Have experience in conducting preliminary interviews
** Demonstrate a solid typing WPM (ideally 55+ WPM)
Job responsibilities include:
** Working closely with our Chief Operating Officer to assist with hiring needs, maintain a good pool of candidates for various ** positions within the company, and minimizing turnover within the team
** Attend meetings in place of the Director of Recruiting, when requested, to identify action items, deliverables, and follow-ups
** Has great attention to detail, organizational skills and record keeping skills to ensure smooth workflow in the HR department.
** Scheduling interviews and balancing calendars for interviewers and candidates
** Helping with initial applicant screening
** Coordinate hiring activities
** Manage key admin tasks (e.g. answering emails, setting up application forms, drafting of offer letters and onboarding documents)
** Prepare and post job ads online
** Resume screening and initial phone screens
** Schedule interviews and keep calendars for all hiring teams and candidates
** Process background checks
** Maintain candidate database
** Handle records and paperwork
** Conducts preliminary interviews
** Resolve issues as fast as possible (e.g. interview cancellations)
** Assist with new hire onboarding (e.g. preparing documents, coordinating orientation agendas)
** Take ownership of additional duties and special projects, as needed

Internet Speed – At least 50 MBPS Download speed
Work Schedule: Sunday to Thursday, 3 pm CST to 12 am CST // Monday to Friday, 4 am to 1 pm PHT.
Salary Range: 22,000 – 35,000 DOE
