Working Schedule: Monday-Friday, 8:00AM – 5:00PM Pacific Standard Time
Position Summary:
We are seeking a detail-oriented and proactive Accounting / Finance Assistant to support our Accounting / Finance department. This role will involve assisting with the administration and day-to-day tasks, including creating quotes, ordering items, invoicing, and other finance-related duties. The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
1. Quoting and Procurement:
– Prepare and create quotes for hardware, software, cloud services, security projects, and other client requirements.
– Order hardware/software for resale.
– Order cloud licensing for resale.
– Order miscellaneous items for resale.
2. Invoicing and Accounts Receivable (AR):
– Assist in sending agreement invoices and one-time invoices.
– Communicate with clients regarding invoicing and AR.
– Email clients monthly for invoices 90+ days past due.
3. Administrative Support:
– Assist with bookkeeping tasks such as revenue/expenses reconciliation.
– Support the submission of sales tax.
– Help with miscellaneous accounting-related tasks as needed.
4. Vendor Payments:
– Support vendor payments including rent, insurance, vendors, and COGS-related payments.
5. Miscellaneous:
– Provide general administrative support to the Accounting / Finance department.
– Assist with the management and updating of agreements (D247/Cloud/BDR/Security/etc.).
Qualifications:
Education:
– Associate’s degree in Accounting, Finance, Business Administration, or a related field. Bachelor’s degree preferred.
Experience:
– Previous experience in an accounting or finance support role.
Skills:
– Strong organizational and time management skills.
– Excellent communication and interpersonal skills.
– Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
– Experience with accounting software (QuickBooks or Xero) and ERP systems is a plus.
– Attention to detail and a high level of accuracy in work.
