The Administrative Coordinator position for our Care Management team at Corewood Care is perfect for an articulate professional who has a highly skilled knowledge of service etiquette and a “can do” attitude. This individual is comfortable with ever-changing tasks, possesses a high level of flexibility, and consistently represents the company in a professional, friendly, and composed manner. Reliability as well as the ability to organize, plan ahead, and manage stress and fast-paced activity with ease are critical to the role.

The Administrative Coordinator role is to serve as a point of contact with clients, employees, and health care professionals and to provide administrative support to the Care Management team. The company looks to the Administrative Coordinator to think quickly and immediately determine logistics and contact needs. The Administrative Coordinator shall be an integral part of the team therefore the ideal candidate must be able to work collaboratively with peers and take direction direct supervisors. The ideal candidate must be willing to jump in and help wherever there is an opportunity.

Key Tasks, Duties, and Responsibilities
Administration, Operations and Talent Management
• Works closely with the Director of Care Management to help organize their team.
• Serves as the first and primary point of contact for, clients, care managers, job seekers and the prospective clients regarding services by fielding and directing phone calls, texts or emails in a professional manner so as to create positive relationships with all stakeholders and ensure excellent service delivery.
• Relays messages to appropriate team members in a timely manner and quickly returns missed calls and adds all notes from daily tasks/ phone calls to internal systems as appropriate.
• Maintains active communication with Care Managers in the field through phone, email or text as appropriate. Includes confirming receipt of communication, request mitigation, and acknowledgement of work efforts moving forward.
• Throughout the day and as needed, calls Care Managers regarding hours entered and associated case notes. Updates clients and team members as appropriate and makes a note for billing/ payroll.
• Attends weekly meetings, documenting attendees, completing meeting minutes and completing follow-up items as assigned.
• Prepares, edits and finalizes department presentations in a timely and professional manner.
• Providers oversight on CM filing systems for accuracy and compliance.
• Addresses client of CM complaint, issues or concerns and escalates these to the Associate Director or Director of care management.
• Reviews daily case notes and schedules to ensure entries are made correctly and promptly for billing and payroll cycles.

Staffing: Provides support for Corewood’s staffing needs by assisting with components of the staffing and recruiting processes, including:
• Assists with the recruiting process, including using Indeed to complete initial reviews of applicants.
• Conducts phone interviews with candidates and coordinates in-person interviews with candidates.
• Assists with the receipt and organization of hiring documentation from candidates.
• Assists with the completion of reference checks and conducts preliminary due diligence tasks.
• Assists with other staffing and human resource duties as assigned.

Additional Duties
• Assists with care manager schedule coordination as directed.
• Offers suggestions and thoughts to Director of CM regarding improving workflows and processes to be evaluated for team discussion.
• Assists with the research and planning of local staff events as needed.
• Actively participates in activities/ programs that enhance the organization’s quality of service.
• Offers to assist colleagues with other projects as time allows; assists as able.
• Other duties as assigned.

Desired qualifications:
• 1+ years of experience in an administrative support role preferred
• 1+ years of healthcare experience preferred
• Bachelor’s degree preferred
• Computer proficiency including Microsoft Office applications
• Excellent time management, organizational and critical thinking skills
• Motivated self-starter and creative problem-solver with a strong attention to detail, who is comfortable working in a fast-paced, dynamic environment
• A true collaborator who is able to put ‘we’ ahead of ‘me’ and work effectively with others
• A genuine desire to serve others and passion to help those in need
