Position Overview:
As a Remote Executive Assistant, you will play a crucial role in the smooth and efficient operation of our e-commerce business. You will work closely with our team providing them with comprehensive administrative and organizational support. This position offers an opportunity to become an integral part of our team and contribute to our ongoing growth and success.
Key Responsibilities:
Logistics Coordination: Oversee daily logistics operations by requesting and scheduling regular pickups with UPS and other carriers to ensure timely dispatch of all packages.
Sales and Discount Monitoring: Stay updated on current sales, discounts, and promotions, and communicate these opportunities to our shoppers to enhance customer satisfaction and boost sales.
Inventory Management: Efficiently process all newly acquired items on a daily basis, entering them into our software system to enable quick and accurate order fulfillment. Ensure that products are accurately added under the correct Amazon listing to maintain listing accuracy and customer trust.
Expense Reporting Verification: Ensure meticulous accuracy by cross-referencing expense reports with corresponding receipts, guaranteeing that financial records are complete and error-free.
Financial Tracking and Analysis: Support the accounting team by diligently tracking and recording business expenses in a dedicated spreadsheet. Collaborate in generating data tables and summaries for in-depth financial analysis, assisting in informed decision-making.
Collaborative Problem-Solving: Work closely with the team to resolve any errors or mistakes made by team members, ensuring that corrective actions are taken promptly to maintain operational excellence and customer satisfaction.
Sales Records Maintenance: Keep accurate and up-to-date records of our sales activities in Canada and Mexico, ensuring that our performance in these markets is well-documented and readily accessible for analysis and strategic planning.
Qualifications:
Proven experience as an Executive Assistant or similar role.
Proficiency with productivity software, including Microsoft Office and Google Workspace.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Detail-oriented and able to maintain confidentiality.
Self-motivated and capable of working independently.
Familiarity with e-commerce and Amazon operations is a plus but not required.
