About the Executive
Will manages multiple businesses and requires support. Business #1 is Ultralift Australia a leading metal fabricator specializing in Audio Visual products for high-end homes, commercial offices and government projects. Business #2 is SPT, an innovative sports tech business committed to enhancing sports performance through cutting-edge technology and wearable products. Business #3, Will is the President of his local sports club, the Old Scotch Football Club. In all three of these businesses, a general manager reports to Will.

Job Summary:
The Remote Executive Assistant will provide comprehensive support to Will. This role requires a proactive and highly organized individual who can manage key projects, handle email and diary management, maintain to-do lists, prepare agendas, and ensure the Managing Director stays on track with tasks. The ideal candidate will possess excellent communication skills and the ability to work independently in a remote setting.

Key Responsibilities:
– Project Management: Assist in the planning, executing, and monitoring key projects across all businesses.
– Email Management: Efficiently manage the Managing Director’s email inbox, including sorting, responding, and flagging important messages.
– Diary Management: Schedule and coordinate meetings, appointments, and events to ensure optimal time management.
– Task Management: Maintain detailed to-do lists and follow up on pending tasks to ensure timely completion.
– Agenda Preparation: Prepare and organize meeting agendas and ensure all necessary materials are available in advance.
– Documentation and Notation: Take detailed notes during meetings and follow up on action items.
– Accountability: Keep the Managing Director accountable for their tasks and deadlines through regular check-ins, reminders and prompts.
– Communication: Act as a liaison between the Managing Director and internal/external stakeholders.
– Social Media – Manage various social media accounts including Linkedin with new content, posts and generate interesting information for the audience to stay relevant
– Personal Tasks – some personal tasks, management will be required.
