We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our Executive Team, which includes the Chief Operating Officer (COO), Chief Financial Officer (CFO), Chief People Officer (CPO), and the Executive Director. The Executive Assistant will play a pivotal role in ensuring the smooth operation of the executive offices, allowing them to focus on strategic initiatives and leadership responsibilities. The ideal candidate will be a detail-oriented, resourceful, and adaptable professional who can effectively manage a wide range of tasks and responsibilities.
Key Responsibilities:
Calendar Management: Manage the executive team’s schedules, including scheduling meetings, appointments, and travel arrangements. Ensure that each executive is well-prepared and informed for all engagements.
Communication: Act as the primary point of contact between the executive team and internal/external stakeholders. Handle incoming calls, emails, and correspondence, and draft responses on behalf of the executives when necessary.
Document Management: Organize and maintain digital and physical files, documents, and records for the executive team. Assist in the preparation of reports, presentations, and other materials.
Meeting Coordination: Coordinate and prepare materials for meetings, including agendas, minutes, and presentations. Attend meetings with the executives when required and follow up on action items.
Travel Arrangements: Arrange domestic and international travel for the executive team, including flights, accommodations, and transportation, while ensuring cost-efficiency and adherence to travel policies.
Expense Management: Track and reconcile expenses for the executive team, prepare expense reports, and ensure accuracy in financial records.
Project Support: Provide administrative support for specific projects and initiatives led by the executive team, including research, data analysis, and coordination with cross-functional teams.
Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
REQUIRED SKILLS/QUALITIES:
Proven experience as an Executive Assistant or similar role, supporting senior executives.
Exceptional organizational and time management skills.
Strong written and verbal communication abilities in English.
Proficiency in Microsoft Office Suite and Google Suite to facilitate efficient workflow and data analysis.
Ability to multitask and prioritize effectively in a fast-paced environment.
Excellent attention to detail and problem-solving skills.
Discretion and the ability to handle confidential information.
Bachelor’s degree or relevant certification is a plus.
Amenable to work from 8am-5pm PHT
