We are seeking a highly organized and proactive individual to join our real estate team as an Executive Assistant. As a Real Estate Executive Assistant, you will provide crucial administrative support to our executive team, ensuring smooth operations and exceptional service delivery to clients. This role requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities:
Act as the primary point of contact for the executive team, handling incoming calls, emails, and inquiries with professionalism and discretion.
Manage calendars, schedule appointments, and coordinate meetings, both internally and with clients.
Prepare and edit correspondence, presentations, reports, and other documents as needed.
Assist with real estate transactions, including drafting contracts, preparing listing materials, and coordinating closings.
Conduct research and gather information on properties, market trends, and competitors to support decision-making processes.
Coordinate travel arrangements and accommodations for executives as required.
Maintain accurate client databases, records, and files, ensuring data integrity and confidentiality.
Assist with marketing and promotional activities, including social media management, email campaigns, and event planning.
Collaborate with other team members and departments to ensure seamless communication and workflow coordination.
Handle ad-hoc administrative tasks and projects as assigned by the executive team.
Requirements:
Previous experience as an executive assistant, administrative assistant, or similar role, preferably in the real estate industry.
Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
Strong written and verbal communication skills, including professional phone etiquette.
Detail-oriented mindset with a high level of accuracy in data entry and document preparation.
Ability to maintain confidentiality and handle sensitive information with discretion.
Knowledge of real estate terminology, processes, and regulations is a plus.
Bachelor’s degree in business administration, real estate, or a related field is preferred but not required.
