Hampson Properties is a dynamic residential real estate brokerage dedicated to providing exceptional service to our clients. Our team is growing, and we are seeking a highly organized and motivated Real Estate Listing and Marketing Assistant to join us remotely from the Philippines.
Job Description:
The Real Estate Listing and Marketing Assistant will be responsible for supporting our real estate agents with various administrative, marketing, and client relations tasks. The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills.
Responsibilities:
Real Estate Listing and Marketing Tasks:
Create and post new listing announcements using Canva.
Design and distribute open house flyers using Canva.
Generate and distribute listing and marketing reports.
Create engaging social media posts for agents, with a focus on Facebook and Instagram.
Social Media Management:
Manage our Facebook group for referrals, ensuring active and engaging communication.
Develop and implement Instagram strategies to increase engagement and followers.
Ordering and Logistics:
Order signs for new listings.
Coordinate professional photography sessions for listings.
Google and Email Tasks:
Maintain up-to-date documentation related to listings and marketing using Google Docs.
Encourage clients to leave Google reviews.
Design and send flyers via email, and coordinate with printers for physical distribution.
Prepare and distribute a weekly email newsletter using platforms like Constant Contact or MailerLite.
Utility and Calendar Management:
Handle utility switchover processes for new listings.
Ensure all relevant dates and appointments are accurately entered and managed in calendars, including platforms like Hemlane and Jointly.
Track rent dates and payments, ensuring timely processing of first-of-month checks.
Financial Management:
Enter receipts into QuickBooks.
Process orders 30 days from the closing date.
Reminders and Anniversaries:
Track and send reminders for closed dates and anniversaries.
Manage birthday reminders for clients or team members, especially for those named Sierra.
Client and Vendor Relations:
Maintain a list of client preferences and likes to personalize interactions.
Manage buyer representative agreements, ensuring they are up-to-date and correctly filed.
General Executive Assistance:
Manage emails and provide general executive assistance.
Book appointments and manage schedules.
Qualifications:
Excellent written and verbal communication skills in English.
Proficiency in using Canva for designing marketing materials.
Experience with CRM systems is a plus (full training on Sierra Interactive provided).
Familiarity with Hemlane, Jointly, and Dotloop platforms is a plus (full training provided).
Strong organizational skills and attention to detail.
Ability to work independently and manage multiple tasks effectively.
Familiarity with newsletter platforms like Constant Contact or MailerLite.
Experience using ChatGPT for prompting and other tasks.
Highly organized and able to manage multiple priorities.
Familiarity with real estate processes and terminology is a plus but not required.
Reliable high-speed internet connection.
Work Hours:
Available to work from 9 AM to 5 PM, Monday to Friday (Central Standard Time, CST).
