Who We Are Looking For:
Are you ready to be the hero of our scheduling saga? We’re on the lookout for a Remote Scheduling Coordinator to join our team! As the mastermind behind our appointment scheduling, you’ll be the driving force ensuring our patients receive the care they deserve, all while bringing a touch of professionalism and cheer to every interaction.

Responsibilities:
– Navigate scheduling software with finesse to orchestrate the perfect symphony of appointments.
– Serve as the friendly voice of our clinic, providing exceptional customer service to patients with every interaction.
– Scheduling new patient appointments
– Rescheduling any current patient appointments
– Answering any questions and/or concerns that come in (or forwarding the message to the best person who can answer)
– Maintain meticulous records, and ensuring accuracy and completeness at all times.
– Collaborate seamlessly with our healthcare providers and administrative team to keep our schedule running smoothly.
– Prioritize tasks, ensuring that urgent appointments receive the attention they deserve.
– Lead follow-up and cold calling potential patients
– Relentlessly following up with missed and canceled appointments
– You will be using a platform called GoHighLevel to track patient success and update “pipelines” in the patients journey as they progress within our clinic
– Potentially Managing Spreadsheets of potential patients
– Call patient referrals to ensure a timely booking of their appointment
– Answer the phone when our in-clinic receptionist is unable to do so
– You will be working with our in-clinic receptionist very closely to improve our “speed to response” rate for emails, texts, and phone calls.

Requirements:
– A passion for patient care and a dedication to delivering outstanding service with a smile.
– Previous experience as a scheduling coordinator, focused on appointment setting and answering client/patient phone calls is required!
– Exceptional communication skills, both written and verbal, coupled with a professional demeanor. Must have complete proficiency in the English language (we want you to sound like you’re here in the clinic with us!)
– Proficiency in navigating scheduling software and electronic medical records systems.
– Strong attention to detail and organizational prowess, with the ability to multitask like a pro.
– A team player mentality with the ability to thrive in a remote work environment.

Salary: A starting salary of $5 per hour with a chance of salary increments along the way depending on performance!

Work Schedule: Monday to Friday, from 9:00 AM to 5:00 PM EST (US Timezone), but with a potential for a future schedule change to cover our phones during closed hours and on weekends.
