Position Overview:

We are a fast-growing e-commerce start-up based in Gold Coast Australia seeking an experienced, proactive, and highly organized Virtual Executive Assistant to support our CEO. The ideal candidate will have a strong track record of supporting C-level executives, especially within dynamic start-up environments. They should excel in multitasking and navigating a fast-paced setting, ensuring the CEO’s day-to-day operations run efficiently.

Key Responsibilities:

Communication Management: Screen incoming calls, emails, and correspondences directed at the CEO, highlighting urgent matters and ensuring prompt responses.

Document Preparation: Draft and edit correspondence, presentations, contracts, agreements, and other essential documents as required.

Sales Support: Assist with sales processes, including initial outreach, follow-ups, and finalization.

Live Chat Management: Oversee and occasionally handle live chats, ensuring customer inquiries are addressed promptly and effectively.

Meeting Coordination: Organize and manage meetings, including agenda preparation, minute-taking, and action item follow-ups. Ensure all necessary materials are available for meetings.

Team Management: Assist in interviewing potential team members, onboarding, and managing the team’s day-to-day needs and concerns.

Travel Arrangements: Organize and coordinate travel itineraries, including flight bookings, accommodations, and ground transportation.

Expense Reporting: Manage and reconcile monthly expense reports for the CEO, ensuring timely submission and accuracy.

Stakeholder Coordination: Serve as a key point of contact between the CEO and internal teams, as well as external business contacts.

E-commerce Specific Tasks: Monitor key performance metrics, customer feedback, and e-commerce trends. Relay pertinent information to the CEO for strategic decision-making.

Project Management: Support the CEO with various projects, from researching new business opportunities to coordinating with different departments or external partners.

Calendar Management: Organize, prioritize, and coordinate daily schedules, ensuring the CEO is prepared and informed for all meetings and commitments.

Confidentiality: Uphold discretion and confidentiality concerning all business-related matters.

Ad-hoc Support: Provide any other administrative support as necessary.

Qualifications:

Bachelor’s degree or equivalent experience.
Proven experience as an executive assistant or in another relevant administrative support role.
Familiarity with e-commerce platforms and trends.
Excellent verbal and written communication skills.
Strong organizational skills and multitasking capabilities.
Proficiency in MS Office Suite, Google Suite (Docs, Sheets, Drive, etc.), Asana, and virtual communication tools like Zoom and Slack.
Ability to work both independently and collaboratively in a team-oriented environment.
Exceptional attention to detail and problem-solving skills.
Flexibility to adapt to changing priorities and requirements.
