As the Executive Assistant to the CEO, you will be a pivotal member of the team, providing comprehensive administrative and strategic support. Key Responsibilities – What duties are you responsible for?
-Calendar and Schedule Management: Take full control of the CEO’s calendar including scheduling meetings, confirming appointments, and ensuring no scheduling conflicts. Prepare and manage meeting agendas to optimize the CEO’s time and focus during discussions.
-Communication Management: Handle the CEO’s emails and correspondences, discerning urgency and relevance, and draft responses in the CEO’s tone. Represent the CEO in calls or meetings when he is unavailable, ensuring continuity and progression of agenda.
-Travel and Event Coordination: Organize all aspects of travel including flights, accommodations, and itineraries. Coordinate details for events including logistics and communications.
-Project and Task Management: Assist in project oversight to ensure timely completion and adherence to goals. Manage and prioritize daily tasks and responsibilities, including the unexpected or urgent ones.
-Documentation and Reporting: Take diligent notes during meetings and produce comprehensive recaps. Create and maintain reports as required, presenting data in an actionable format for decision-making.
-Personal Assistance: Manage personal errands and requirements for the CEO, ensuring his personal tasks are handled efficiently alongside professional duties.
-Special Assignments: Handle special assignments with a high level of confidentiality and discretion as directed by the CEO.

-Proven experience as an Executive Assistant or similar role.
-Exceptional ability to communicate and collaborate with a variety of stakeholders.
-Strong understanding of business and personal etiquette.
-High proficiency in digital tools like Google Suite, Zoom, Microsoft Office, and project management software.
-Excellent time management and ability to work in a dynamic, fast-paced environment.
-Discretion with private and sensitive information.
Working Hours:
Typical work hours are 7:30 AM to 4 PM, Pacific Time, on weekdays. Flexibility is required for evenings and weekends depending on the CEO’s schedule and travel.
