Job Description

Canadian property management company is looking to hire a Rental Property Administrator. The ideal candidate would have a strong sense of responsibility, strong administrative experience, background in property management and familiarity with Buildium. We are expecting the Property Management Administrator to be working exclusively with us with no side hustles to distract him/her from her commitment to building the team. Working graveyard shift and one long (12 hr) shift per week is required.

Below are the main job responsibilities:

1. Manage company inboxes:
-Manage company email inbox, respond and assign conversations to team members
-Manage company phone line and text messages
-Manage company instant messenger accounts
-Manage incoming tickets from Buildium and coordinate with property managers via Trello
-Manage company Airbnb and other short-term rental inboxes
-Managing relationships with property owners, tenants, and Airbnb guests
-Remind team members of urgent tasks as per Trello calendar

2. Complete administration for long-term rental:
– Managing property listings, including pricing, availability, and content optimization
– Ensure all listings and tenants information on Buildium are complete and in sync with leases
– Complete screening calls for tenants and arranging viewing schedules
– Assist property managers in preparing leases, completing reference checks, issuing notices and filing claims
– Overseeing all documents, deposits and notices are complete for move-ins and move-outs
– Coordinating property maintenance, repairs, and renovations as required

3. Bookkeeping:
– Tracking income and expenses, complete daily bookkeeping, ensuring accurate accounting records
– Managing property-related finances, including rent collection, security deposits, and utility payments
– Assist with computing payouts for cleaners, contractors and landlords.
– Assist with collecting, documenting and tracking payroll hours.

4. Other administrative tasks as directed by owners and other team members.
