Job Description

We are a small Uk company based in London. We manage over 20 apartments on short term rental. We are looking for a dynamic and pro active person to join our reservation team. Experience in using Guesty and managing a portfolio of properties on short term rental is highly desirable.

Responsibilities:

Timely enquiry response
Ensure prompt responses to all reservation-related enquiries within one hour during regular work hours.

Reservation platform management
Monitor various reservation platforms, including multiple Airbnb account; , VRBO and Plumguide.

Communication oversight
Monitor reservation emails, WATI and consistently to maintain effective communication channels.
Refer to several times a day to respond efficiently to assigned tasks.

Maintenance Management
Report, categorize and resolve maintenance issues, seeking management approval for jobs costing more than £200.

Expense tracking with Tokeet:
Utilize Guesty efficiently to log all expenses, including cleaning, maintenance, rent and bills. Ensuring records are up to date every Friday.

Invoicing and payment management
Ensure all invoices are paid promptly and accurately reported on Guesty.

Guests’ interaction
Communicate effectively with guests to ensure a positive enjoyable stay, providing comprehensive check in- check out information.

Insurance compliance
Register guests with the company insurance provider SuperHog as necessary.

Invoice follow up:
Proactively chase outstanding invoices to maintain financial stability.

Meeting participation
Attend all reservation meetings to stay informed and contribute to discussions.

Collaboration with cleaning team
Liaise with the cleaning team and promptly record cleaning issues to both the cleaning and the management teams.

Utility registration and management
Ensure that every flat is registered for energy, water bills, internet, and council tax.
Maintain up to date records of all accounts and direct debit.

Home staging coordination
Coordinate home staging activities and place new orders when necessary to enhance property presentation.

Record keeping
Maintain meticulous records of all documents and logins on the company shared folder.

Review excellence
Aim for 5-star reviews from every guest by ensuring perfect guest communication and impeccable service.
Initiate the review process encouraging positive feedback from satisfied guests.
KPI review scores per week
