Job Description

Property Management Company in Eastern Time zone (New York) USA is looking for a Virtual Assistant (VA)
Our team is actively seeking organized and detail-oriented administrative assistants.

Responsibilities:
Handle a variety of administrative tasks and office work remotely.
Efficiently follow up on leads.
Serve as the primary communication facilitator between landlords, tenants, and our third-party affiliates – this can be verbally, through email, or via text.
Coordinate seamlessly with HOAs (Homeowners Associations).
Interface with utility companies to ensure smooth operations.
Craft compelling listings, complete with detailed descriptions.
Prepare and present regular marketing reports for listings.

Working Hours:
Total 5 days, (4 weekdays and Saturdays)
9am to 6pm EST. (9pm-6am Philippine Standard Time)

Required (Only candidates with the following qualifications will be considered):
• Proficiency in Email Management
• Proven previous VA Experience is required.
• Composing well-written letters or documents.

Desired:
• Experience in property management or Real Estate property research
• Additional duties may be assigned.
• The ideal candidate is comfortable in a small business environment.
• C or S type of DISC
• Introvert personality

Pay is based on experience. We offer continued education/training. You have to provide your previous/current employer contact information or be able to verify your experience.

The position can be started immediately.
Working on Saturdays is required.

In this role you will:
First 1-3 months
Follow up leads via copy and paste text
Research and do marketing comps
Assist in property management tasks such as lease renewals, document preparations, listing properties, and marketing properties.
Organize emails
Assist in invoice management
Call and coordinate with utility companies and other services
after 3 months
Coordinate marketing events and client activities
Oversee all listing files and listing marketing (Brochures, flyers, online marketing, etc.)
Create maintain and utilize a complete lead follow-up system
Keep agents informed about challenges and issues that need to be handled
Work with all preferred vendors, including professional photographers, contractors, lenders, closing attorneys, etc.
Coordinate calendars and schedule relevant meetings and travel arrangements
Send out weekly reminders of upcoming critical dates via email and/or phone
be available on Saturdays.

Note: Previous experience in a similar role is a plus but not mandatory.

About Our Company:

DDUP is a privately owned property management company. We have been servicing individual investors since 2012. Our responsibilities include, but are not limited to, collecting rents, finding good tenants, ensuring properties are well maintained, sending accurate and updated financial information to our Clients, taking legal actions with any delinquent accounts, and addressing Client issues promptly and efficiently. Currently we have Five Team Members.
