RN INTAKE COORDINATOR – Oregon Licensed

We seeking a part-time, daytime remote Intake Coordinator. Must have RN license in Oregon, USA.

We are seeking a virtual administrative assistant to create programming for adult (18+) clients with psychosocial disabilities.

Job Responsibilities

Intake Coordinator Responsibilities:
? Review clinician schedules regularly to maximize capacity and verify correct scheduling.
? Fax medical records to facilities authorized to receive client information.
? Maintain a good working relationship and effective communication both within the practice and with other contacts for the benefit of the client.
? Re-scheduling client appointments as required via telephone calls and written notification, prioritizing the clients’ preference for mode of contact.
? Screen and route client calls internally and efficiently, insuring accurate registration, appointment scheduling and follow-up appointment scheduling in database and EMR.
? Taking clear and accurate messages on behalf of clinicians, as needed.
? Responding to client’s questions and needs by editing, canceling, and re-scheduling appointments as necessary according to clinic protocols.
? Resolve customer complaints in a fair manner.
? Discern when it is necessary to escalate issue to owner/clinical director and communicate with client and director in a timely manner.
? Identify areas to improve style and communication with contact when conflict arises. Discern when to take responsibility and initiate solution-finding to support clients and others to gain access to care.
? Elevate customer concerns to managers and supervisors as needed.
? Become knowledgeable about our company’s offerings.
? Provide exceptional customer support on every phone call.
? Provide excellent, one of a kind customer service to all public facing contacts (clients, community partners) and internal team of clinicians to enhance clinic reputation within the local healthcare community.
? Provide live phone and/or video screenings for incoming clients, including:
? Basic education of mental health occupational therapy
? Suicide risk assessment and appropriate referrals to a higher level of care.
? Trauma-informed care.
? The process of establishing care with practice and additional referrals out of practice as needed.
? Identify if incoming clients are an appropriate fit for practice services.
? Develop, maintain, and modify a waitlist for the practice, including communicating internally with clinicians, externally with clients and community partners, and other contacts as needed.
? Accurately identify access to care issues, including difficulty with technology or access to forms. Assist callers with utilizing practice systems.

Team-Based Responsibilities:
? Evaluate and/or develops processes and procedures and assists management in review and implementation of revisions.
? Contribute to the growth of the company through building a successful team.
? Update practice documents to comply with state, federal, and insurance regulations.
? Develop/update copywrite on marketing materials to reflect clinical services and program.
? Assist with daily operations, which could include developing clinical protocols for efficient operations, researching and learning effective customer service protocols and skills, etc.

Work Schedule:
5-10 hours during Monday to Friday 9am-5pm PST
Attend mandatory staff meetings every 2 weeks on Wednesdays 8-9:30am PST.
Compensation: Hourly, based on work performed, DOE
Shift: Day
Location: Virtual / Remote (maintains a RN license in Oregon required)

Education and Experience Requirements:
? Bachelor’s degree nursing (RN). Current Oregon state RN license required.
? Experience in psychiatric nursing – working with persons living with complex mental health and substance use challenges as well as working with underserved clients.
? Training and/or experience in providing care with special attention to trauma or PTSD.
? Experience with Electronic Medical Record (EMR) and practice management system is required.
? Demonstrate culturally competent practices and an understanding of the effect cultural influences have on behavioral health services.
? Ability to use current technology (internet, Microsoft) and effectively use mobile communication devices to meet organizational communication standards.
? Ability to track time closely based on tasks given.
