Job Overview:
We are looking for a versatile and highly organized Executive Assistant with expertise in social media management. This role demands exceptional abilities in asynchronous work, creating accountability systems, client coordination, and process documentation, alongside traditional administrative responsibilities and social media tasks.
Key Responsibilities:
1. **Asynchronous Work & Accountability:**
– Efficiently manage tasks and projects in an asynchronous work environment, ensuring timely completion and quality.
– Develop and maintain accountability systems to track progress and outcomes of various tasks and projects.
2. **Organization & Coordination:**
– Provide exceptional organizational skills to manage and streamline administrative processes.
– Coordinate effectively with clients through phone and email, ensuring clear and professional communication.
3. **Process Documentation:**
– Turn ad-hoc requests and tasks into documented processes and standard operating procedures, enhancing efficiency and consistency.
4. **Administrative Support:**
– Act as the point of contact among executives, employees, clients, and other external partners.
– Manage information flow in a timely and accurate manner.
– Manage executives’ calendars, set up meetings, and make travel and accommodation arrangements.
– Track daily expenses and prepare reports.
– Oversee the performance of other clerical staff and maintain office supply inventory.
– Handle internal and external communication – formatting memos, emails, presentations, and reports.
– Organize and maintain office filing systems.
5. **Social Media Management:**
– Perform research on current trends and audience preferences.
– Develop and implement social media strategies aligned with business goals.
– Create, edit, and share engaging content across various social media platforms.
– Monitor SEO and web traffic metrics.
– Collaborate with teams like marketing and customer service to ensure brand consistency.
– Manage social media accounts’ design elements.
– Monitor and report on ROI from social media activities.
**Requirements:**
– Proven experience as an Executive Assistant, Personal Assistant, or similar role with social media management skills.
– Excellent organizational, time management, and strategic thinking abilities.
– Strong written and verbal communication skills.
– Proficiency in MS Office and familiarity with office gadgets and applications.
– Strong understanding of social media platforms and content management.
– Ability to deliver creative content and solid knowledge of SEO, keyword research, and Google Analytics.
– Discretion, confidentiality, and high attention to detail.
– High School degree; PA diploma or certification and a BSc degree in Marketing or relevant field are a plus.
