Overview: As the Executive Assistant to the Sales Director, you will play a crucial role in supporting the executive in daily operations and strategic initiatives. This position requires exceptional organizational skills, strong attention to detail, and the ability to handle a wide range of responsibilities in a fast-paced environment.
Key Responsibilities:
Communication Management:
Manage and prioritize the executive’s email correspondence.
Draft and compose professional communications on behalf of the executive.
Calendar and Schedule Management:
Maintain and coordinate the executive’s calendar, scheduling meetings and appointments.
Ensure the executive is prepared and informed for all scheduled activities.
Travel Coordination:
Arrange and manage travel logistics, including flights, accommodations, and itineraries.
Coordinate travel plans to align with the executive’s schedule and business needs.
Administrative Support:
Create and maintain spreadsheets, quotations, and project status updates.
Ensure accuracy and timely completion of administrative tasks.
Project and Task Management:
Utilize project management tools to monitor tasks, deadlines, and milestones.
Coordinate with team members to ensure projects stay on track and meet objectives.
Communication and Presentation Support:
Utilize basic graphic design skills to create visually appealing presentations and reports.
Maintain consistency with company branding and presentation standards.
CRM and Data Management:
Update and maintain customer relationship management (CRM) systems.
Input and track customer interactions, sales activities, and follow-up tasks.
Strategic Support:
Provide proactive support in anticipating and addressing the executive’s needs.
Assist in identifying potential issues and implementing solutions to enhance efficiency.
Required Skills and Qualifications:
Bachelor’s degree preferred.
Minimum 5 years of experience in executive assistance or similar roles.
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and CRM software (Zoho CRM preferred).
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Ability to handle confidential information with discretion.
Proactive mindset with the ability to work independently and collaboratively.
