ROLE
The Executive Assistant’s primary function is to support the CEO by managing their day to day tasks, including scheduling, personal and company email management, providing reporting used by executive leadership to make decisions, appointment scheduling, travel planning and other various tasks to support the CEO, allowing the CEO to focus on growing the business and achieving the company goals. This job could also entail social media tasks and creating product listings in systems like Amazon, Shopify, Etsy and other systems. This is a part time position initially, but hope to make it full time for the right candidate and as the company continues to grow.
RESPONSIBILITIES
Providing daily, weekly and monthly reporting from Amazon, Quickbooks, Shopify, Etsy, and other systems as needed
Managing the CEOs personal and company emails, providing assistance with writing, editing emails, preparing documents, reports, tables and charts; distribute as appropriate.
Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
Performing minor accounting duties and paying invoices
Organizing meetings, including scheduling, sending reminders, and organizing events when necessary
Work directly with the CEO to support all aspects of the daily work routine.
Assist CEO with task setting and prioritization in Asana
Contacting customers and companies via phone and email
Coordinate work with other XOXO Parents employees as needed
Assisting the CEO with the hiring process for other employees
Schedule company meetings; assist in the preparation and distribution of meeting agendas and materials.
Prepare, reconcile, and submit expense reports.
Researching information and making recommendations on various personal and business topics
Maintain Google Workspace and Team Training Content.
Ability to watch a video and document the process described in the video
Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Additional Responsibilities May Include:
Create and utilize brand graphics/images/videos/infographics (Canva, Illustrator, Photoshop, or similar)
Plan, create, and post on all relevant social media platforms
Seek and engage Influencers in our niche to help promote our brand
Responding to customer inquiries and issues and communicating with the proper team member for resolution.
RESULTS
CEO has an updated calendar and is clear on schedule without conflicts
Reporting is delivered on time according to scheduled needs
Invoices are paid on time and communicated with CEO
Personal and company emails are reviewed and prioritized, so that CEO is only engaged on the most important issues
Tasks and assignments for employees are clear and up to date in Asana
REQUIREMENTS
Maintain confidential and sensitive information.
Familiarizing with Asana, project management software
Familiarity with Amazon, Shopify, Etsy, TikTok, Walmart marketplaces
Familiarity with Quickbooks
Familiarity with Microsoft Excel, Google Drive, Google Chat, WhatsApp, Canva, Photoshop
Excellent English for written and verbal communications
Time-management skills
Ability to pay attention to detail
Organization skills
Ability to multitask and prioritize
Ability to make decisions and learn from mistakes
Ability to problem solve issues
