Job Description

Some of our team members have local PAs, but we need ROCKSTAR’s additional support, which we will manage from HQ.

What You’ll Do:

– Be the Backbone for the agent: Manage new listings meticulously, from reviewing agreements to loading data into our CRM. Your attention to detail will keep our properties shining. Coordinating Photography / Creating and ordering Property Brochures / Posting on Social Channels / Creating draft REINZ Sale and Purchase Agreements

– Processing Properties that go under contract/ SELL. Accurately loading a sale information into the CRM./ Emailing all parties the completed Agreements/ Liaise with Solicitors and Buyers / Coordinate other Sale related marketing and tasks.

– Assisting the Agent with their day-to-day Inbox management/ Vendor reporting / Appraisal Presentation documentation upon request. / Creating Buyer Sale and Purchase agreements.

– Champion Communication: Liaise with vendors, coordinate essential documents and ensure compliance.

– Digital Dynamo: From social media posts to CRM automation updates, your tech-savviness will keep us ahead of the curve.

– Administrative Ace: Support our operational manager and agents with daily tasks, ensuring everything runs like a well-oiled machine.

– Innovative Learner: Embrace our suite of tools, including Google Workspace, Skype, WhatsApp, Slack, Eagle CRM, Canva, ChatGPT, Calendly, and Zapier

Who You Are:

– Experienced Professional: With at least three years in a fast-paced assistant role, you’re ready to dive into the real estate realm (experience in this field is a bonus!).
– Tech-Savvy Trailblazer: You’re comfortable with technology, eager to learn, and adapt to new tools that keep Ownly ahead.
– Detail-Oriented Organizer: Multitasking is your forte; you handle it with impeccable time management and an eye for detail.
– Communication Wizard: With excellent English skills, you’ll ensure our message is always clear and professional.
– Have excellent technical equipment/internet accessibility to minimize loss of connection.

This is a full-time position. 40 hours per week. You will be an Independent Contractor.
As we conduct business in New Zealand; ideally, one of our VAs will be available from NZ time 10 am (Philippines 5am)

As we grow the team, we will schedule early and late shifts so we have coverage for agent requests.
Some limited weekend hours may be expected also but will be rostered.

We honour most Filipino holidays except for All Saints and All Souls Day, but to maintain coverage for the Agents, some rostered flexibility may be needed.
